Prepares various tumor board conferences, patient second opinions, and other requests by pathologist or outside facilities.ResponsibilitiesA day in the life of a Support Specialist, Lab Administrator at Hackensack Meridian Health includes:

Prepares submitted slide cases after review of outside reports, accuracy of outside slides & blocks, government ID and verification of insurance.

Registers the case and labels all blocks and slides, assigns to sub-specialty pathologist for diagnostic purposes and records daily point count. Contact the physician's office with errors in case information.

Responsible for stamping each specimen order with accurate date and time received.

Records distribution to pathologist in submitted slide spreadsheet.

Returns all submitted slides back to the outside facility via Federal Express within six months of receipt. Documents this information in the Case Information section of the report in EPIC.

Works closely with the Tumor Registry and physician's office when selecting appropriate cases for various tumor boards.

Prepares a monthly Tumor Board schedule as requested by the VP of Pathology.

Prints a complete history on patients being presented for Tumor Board Conference for review by pathologist.

Prepares all Tumor Board Conferences weekly as per department protocol. Ensures that all reports and slides are accurately assembled (including slides from outside institutions, when necessary) for preparation by pathologists.

Assists the Histology Department with location of missing blocks and slides when necessary.

Screens all incoming calls and provides information to appropriate medical personnel as needed.

Accurately prepares reports and retrieves slides for review by pathologist for patient 2nd opinion.

Logs all patient 2nd opinion requests in the EPIC spreadsheet. Packages all slides/blocks appropriately for Federal Express shipment. Documents ETA of return of slides back to HUMC.

Prepares invoice for HUMC charges for patient 2nd opinion. Records payment in logbook and delivers all checks to HUMC cashier.

Reviews all completed Breast Cancer Profiles for accuracy of CPT codes and files all paperwork.

Assists with the preparation of all Research cases in the absence of the Pathology Research Coordinator.

Prints OR schedules for pathology on daily Frozen Section calls.

Requests additional blocks, slides, or reports from outside facilities at the request of the pathologist.

Sends additional testing requests to Rutgers, Genomic Health, Foundation Medicine, etc.

Delivers all packages to the mailroom to shipped UPS or Federal Express daily

Receives and distributes all incoming packages into the department/

Maintains accurate files for surgical requisitions, IRB Research protocols, patient consents, etc.

Prepares files yearly for shipment to Archive Systems.

Other duties and/or projects as assigned.

QualificationsEducation, Knowledge, Skills and Abilities Required :

High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.

Knowledge of medical terminology.

Excellent written and verbal communication skills.

Proficient computer skills including but not limited to Microsoft Office and Google Suite platforms.

Education, Knowledge, Skills and Abilities Preferred :

Current matriculating high school student with science background or with secretarial or commercial school background.
