The Office Coordinator plays a pivotal role in facilitating effective communication between the organization, customers, townships, and utility companies. This position requires a dynamic individual who can multitask, prioritize, and maintain professional relationships across various stakeholders. The Office Coordinator serves as the primary point of contact for inquiries, concerns, and information dissemination.
Responsibilities:
1. Customer Communication: Engage with customers via phone, email, and in-person interactions to address inquiries, provide assistance, and ensure exceptional customer service.
2. Township Liaison: Act as a liaison between the organization and local townships or municipalities. Coordinate permits, zoning requirements, and other regulatory matters as needed.
3. Utility Company Interaction: Communicate with utility companies to coordinate service installations, repairs, and utility-related issues. Ensure timely resolution of any utility-related concerns.
4. Documentation and Record-Keeping: Maintain accurate records of customer interactions, township communications, and utility-related correspondence. Organize documentation for easy retrieval and reference.
5. Scheduling and Coordination: Schedule appointments, meetings, and site visits with customers, townships, and utility representatives. Coordinate logistics to ensure smooth operations and timely completion of tasks.
6. Problem Resolution: Address customer complaints, concerns, and issues promptly and professionally. Work collaboratively with internal teams and external stakeholders to resolve problems effectively.
7. Information Dissemination: Disseminate relevant information to customers, townships, and utility companies regarding project updates, service interruptions, and regulatory changes.
8. Administrative Support: Provide administrative support to various departments within the organization as needed. Assist with data entry, filing, and other clerical tasks to maintain office efficiency.
Qualifications:
Excellent communication skills, both verbal and written
Strong interpersonal skills and customer service orientation
Ability to effectively prioritize tasks and manage time
Detail-oriented with strong organizational skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook)
Previous experience in customer service or administrative roles preferred
Knowledge of township regulations and utility processes is a plus
