POSITION TITLE: Administrative Secretary

POSITION STATUS: Part Time (16 hrs/wk)

POSITION SUMMARY:

To assist the Pastors, Staff, and congregation in carrying out a variety of administrative, publication, communication and management tasks resulting in the effective operation of the St Paul church office in support of the congregation’s mission and ministry.

ESSENTIAL RESPONSIBILITIES AND DUTIES

Office Management: To maintain an efficient and effective office environment, including but not limited to:

Purchase & procure office and church supplies, postage, etc., for office and ministry staff

Maintain lists for key distribution, Alarm Codes, etc.

Process in-coming and out-going mail and package deliveries for St Paul

Maintain all office equipment

Coordinate with deacons for overlaps toward efficient operations

Publications: To produce digital and print publications for St Paul, including but not limited to:

Electronic: congregational communications & news updates

Print: Weekly news updates for Sunday worship services

Receptionist: To welcome and assist all who contact St Paul, including but not limited to:

Telephone, email, and website contacts

In-person members, guests, repair and service workers

Secretarial: To perform functions that support the Pastors and staff toward their ministry, including but not limited to:

Correspondences and congregational mass mailings

Record keeping and reports: Maintain church membership data base

Certificates & Records: Baptism, Marriage, Membership, Transfers

Calendars: St Paul events and ministry, Facility

POSITION QUALIFICATIONS:

A demonstrated Christian faith commitment

Excellent verbal and written communication skills

Attention to detail and follow-through; multi-tasking; and able to work with minimal oversight

Demonstrated good interpersonal relationships, teamwork and support of church ministries

Demonstrated confidentiality regarding all records of the church, its staff and members

Demonstrated proficiency in computer systems, including but not limited to MS Office (Word, Publisher, Outlook, Excel, PowerPoint), membership software

EVALUATION AND COMPENSATION:

The Ministry Support Administrator reports to the Lead Pastor and will receive an annual performance review by the Lead Pastor as head of staff.
