OVERVIEW

We are seeking a highly organized and proactive Administrative Assistant to support 2-3 Senior Vice Presidents (SVPs) in a fast-paced, dynamic environment. The ideal candidate will be comfortable handling lower-level administrative tasks while also capable of managing executive-level responsibilities with professionalism and efficiency.

RESPONSIBILITIES

Provide day-to-day administrative support to 2-3 SVPs, including managing calendars, coordinating meetings, and handling confidential information.

Schedule Management: Oversee complex scheduling for executives, ensuring smooth coordination of internal and external meetings.

Calendaring: Manage heavy Outlook calendars, scheduling appointments, resolving conflicts, and adjusting schedules as needed.

Organize and prepare materials for meetings, ensuring the SVPs are fully equipped for all engagements.

MS Office Suite: Regular use of Microsoft Office applications (Word, Excel, PowerPoint) to prepare reports, presentations, and communications.

MS Teams: Utilize Microsoft Teams for communication, meetings, and file sharing.

Manage email correspondence, both internal and external, ensuring timely follow-ups.

Support the SVPs with travel arrangements, expense reports, and other executive assistant tasks.

Assist with any additional lower-level administrative tasks as required.

QUALIFICATIONS

Proven experience as an administrative assistant, preferably supporting executive-level staff.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook for scheduling and communication.

Experience using MS Teams for coordinating meetings and collaboration.

Ability to thrive in a fast-paced environment, managing multiple priorities and tight deadlines.

Strong organizational and multitasking skills, with exceptional attention to detail.

Ability to work independently with minimal supervision and handle sensitive information with discretion.

Excellent verbal and written communication skills.

Preferred Qualifications:

Previous experience supporting senior leadership in a corporate environment.
