Construction firm has an immediate opening for a bilingual secretary.
Essential Functions and Responsibilities Include but are not limited to:
- Answering phone calls and screening potential clients for in-person consultations
- Scheduling Appointments with clients, contractors, townships, suppliers, etc.
- Control customer access to owner
- Filing out, dropping off, and picking up permit paperwork from townships
- Managing incoming job leads from multiple sources
- Organize hiring events, conferences, etc.
- Maintaining office systems, including data management and filing systems
- Carrying out background research and presenting findings on various customer projects
- Liaising with clients, suppliers and other staff.
- Finding new specialized subcontractors and suppliers/vendors for various projects
Knowledge, Skills, & Qualification:
- Proven work experience as a personal assistant
- Knowledge of office management systems and procedures
- MS Office, Adobe Acrobat, and other office programs
- Outstanding organizational and time management skills
- Up-to-date with latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- High School diploma required
- BA or certification would be considered an advantage
- Must have a clean and neat appearance.
- Willing to travel to and from job sites and township offices in company vehicle. Valid Driver's License Required
- Must have own reliable transportation to and from work.
