Position Overview

As our Office Manager, you will be the backbone of our office operations, handling a diverse range of administrative and financial tasks. Your role will be essential in supporting our team, managing daily activities, and contributing to the overall success of our construction projects.

Key Responsibilities

Invoicing Customers (AP/AR): Manage accounts payable and receivable, ensuring timely and accurate invoicing and payments.

Payroll & Employee Time Tracking: Process payroll and maintain accurate records of employee hours and attendance.

Onboarding New Employees: Facilitate the onboarding process for new hires, including documentation and orientation.

Data Entry & Contracts: Assist in filling out contracts and organizing documentation as needed.

Customer Database Management: Maintain and update customer information and project details.

Bids/Proposals: Write up and send out bids and proposals to potential clients.

Job Scheduling: Schedule jobs and communicate effectively with customers and team members.

Vendor Relations: Arrange deliveries, pickups, and quotes with materials vendors.

Operational Systems: Organize and create better operational systems to enhance business efficiency.

Fleet Management: Manage and document fleet information, ensuring DOT compliance, scheduling/logging maintenance, and keeping up-to-date registration.

Additional Responsibilities

Office Supplies Management: Maintain office supplies inventory and place orders as necessary.

Office Organization: Ensure the office environment is clean, organized, and conducive to productivity.

Event Planning: Assist in planning and organizing company events and team-building activities.

Required Skills & Qualifications

Experience: Proven experience as an office manager, administrative assistant, or similar role (ideally in the construction industry).

Technical Skills: Proficient in Word, Excel, Email (Bonus: construction management software experience).

Communication: Excellent written and verbal communication skills.

Organization: Strong organizational and time management skills, with the ability to prioritize tasks effectively.

Attention to Detail: Meticulous attention to detail and accuracy in all work performed.

Problem-Solving: Strong problem-solving skills and the ability to make decisions independently.

Interpersonal Skills: Ability to work well with others and build strong relationships with team members, clients, and vendors.

Adaptability: Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.

Confidentiality: Maintain a high level of confidentiality and professionalism at all times.
