Caldwell Law is seeking a detail-oriented and compassionate individual to join our team as an Asset Alignment Coordinator. As an integral member of our close-knit team, you will play a vital role in our Asset Alignment Department, focusing on meticulous file management and providing exceptional client service in the estate planning and settlement field.

Job Summary: Join our team at Caldwell Law where you'll enjoy a variety of tasks in a supportive and collegial environment. You will primarily be responsible for creating and managing your own calendar, following up with financial advisors/counselors, and maintaining regular communication with clients. Your role will involve repetitive tasks related to file management, requiring excellent organizational skills and attention to detail. You will also have the opportunity to meet with clients, particularly as they approach the end of the titling process, providing support and guidance with empathy and professionalism.

Key Responsibilities:

Prepare titling documents to transfer clients’ assets and designate beneficiaries.

Create and manage calendar for scheduling meetings and follow-ups.

Regularly communicate with financial advisors/counselors and clients via email and phone.

Conduct in-person introductions as needed.

Meet with clients to discuss titling process and provide support.

Meticulously manage and track files, ensuring accurate and timely completion of tasks.

Support team and contribute ideas for process improvement.

Foster a positive and collaborative work environment.

Experience & Requirements:

Strong organizational skills with the ability to track and follow up on tasks.

Comfortable working in emotionally sensitive situations, such as those involving loss or severe diagnosis.

Excellent interpersonal skills with the ability to make clients feel supported and understood.

Proactive team player who actively contributes to team discussions and improvements.

Minimum of 2 years, preferably 5+ years’ experience in estate planning/settlement work preferred or experience as a CPA, Bookkeeper or have Banking industry experience will help you be successful in this role.
