The specific role and responsibilities of this position accommodates a wide range of experience and backgrounds: however, experience in construction administration and accounting will suit this position well. An understanding and familiarity of general commercial construction is important. Experience with Sage 100, MS Office Suite, Adobe, PDF Xchange, and processing certified payroll and reports is a plus.
Responsibilities Include:
Communicate professionally and effectively with management, staff, clients, vendors and government agencies.
Track and understand project bids, plans, job submittals and closeouts, specifications, AIA documents, correspondence, etc.
Maintain and research bid opportunities, plans, addendums, communications, documents, bonds and so forth for tracking and bid submittal daily.
Job set up and within Sage 100, job folders, binder and document maintenance.
Review and prepare bid documents for the bid submittal process, assist estimating department with obtaining quotes and other bid related documentation. Review insurance information and obtain bid bonds when required.
Review awarded contract documentation and exhibits for accuracy to scope/budget and bring any discrepancies to management for review. Work professionally with general contractors and subcontractors and to secure all required insurance, contracts, and documents to execute the project.
Maintain and track project information including project invoice entry, job binders, wage related documentation.
Assist with weekly payroll processing when needed.
Prevailing wage review for compliance, wage rates per project, apprenticeship requests and tracking for compliance, filing of weekly prevailing wage reports (through LCP Tracker or utilizing client required methods), verification of prevailing wage pay accuracy through payroll audits.
Understanding of NV apprenticeship and occasional union fringe collection and statements.
Annual tracking of all prevailing wage jobs hours by class for State of NV compliance with apprenticeship requirements for submittal to Labor Commissioner annually.
File all required documentation for Certified Payroll, labor commissioner reporting, fringe benefit statements etc. when required.
Knowledge of both State Prevailing Wage and Davis Bacon Wages is a plus.
Assist management with the processing of monthly pay applications, construction A/R, change orders tracking for billing and track/process lien waivers for vendors, general and subcontractors.
Manage Subcontractors - subcontracts, insurance and prevailing wage reporting when required.
Assist with project submittals and closeouts.
Ensure compliance with OSHA and company safety standards and regulations. Assist with injury documentation and processing
Basic office tasks, answering phones, mail processing, job filing.
Qualifications
Knowledge with Sage 100, Microsoft Word, Excel, Outlook, ProCore, Textura, GC Pay, LCP Tracker, email, bid sites all a plus.
Ability to work in a fast-paced environment with tight deadlines where a high level of attention to detail, accuracy, integrity and confidentiality are required.
Excellent written and verbal communication skills.
Reliable transportation and a valid driver’s license.
