Position: Administrative Assistant
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our office operations and ensuring smooth day-to-day activities. If you have excellent organizational skills, strong attention to detail, and the ability to multitask effectively, we would love to hear from you.
Responsibilities:
- Perform general administrative duties such as answering phone calls, responding to emails, and managing correspondence
- Maintain and Ordering of office supplies and equipment
- Schedule appointments and manage calendars
- Coordinate meetings and conferences, including preparing agendas and taking minutes
- Assist with document preparation, proofreading, and editing
- Transcribe meeting notes and other documents as needed
- Manage filing systems and maintain accurate records (Both Hard & Electronic)
- Processing of Project Close Out Documents and Procedures
- Greet visitors and direct them to the appropriate person or department
- Assist with special projects as assigned
Requirements:
- Proven experience in an administrative role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with Sage 300 Construction and Real Estate software program
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in all work
- Ability to handle sensitive information with confidentiality
- Knowledge of office management procedures and basic accounting principles is a plus
- Experience in a commercial construction office role is preferred
- Familiarity with phone systems and office equipment
