Overview

A dynamic and fast-growing Las Vegas-based book publishing company is seeking a highly organized, proactive Executive Assistant to support the CEO and executive team. This multifaceted role is pivotal to keeping our publishing operations running smoothly — from coordinating with authors and planning book launches to managing PR campaigns and providing high-level day-to-day support to the CEO.

You’ll be at the center of a high-performance creative company, helping us manage authors, promote books, execute strategic initiatives, and scale our growing portfolio of books and authors.

This position begins as a part-time, 4-month probationary role (25 hours per week at $20/hour), with the opportunity to transition into a full-time position with benefits based on performance and company growth.

Key Responsibilities

- Manage the CEO’s calendar, ensuring efficient scheduling of meetings, calls, and appointments

- Coordinate author onboarding, book signing tours, and virtual/in-person events

- Assist with project coordination by tracking progress, deadlines, and deliverables

- Schedule editorial meetings, marketing check-ins, and publishing timelines

- Plan and organize book signings, author appearances, speaking engagements, and publishing events

- Serve as the liaison between authors and the publishing team

- Handle correspondence, screen calls, and manage internal communications

- Book travel arrangements and accommodations for the CEO and authors

- Assist in planning company retreats, industry conferences, and publishing events

- Track publishing schedules, launch milestones, and marketing deliverables

- Hire and supervise new employees under the directive of the CEO

Skills & Qualifications

- Strong computer literacy with proficiency in Microsoft Office Suite (especially Outlook)

- Excellent organizational skills with the ability to prioritize tasks effectively

- Experience in project coordination and event planning is highly desirable

- Strong clerical skills, including data entry accuracy and attention to detail

- Ability to proofread documents with a keen eye for errors or inconsistencies

- Exceptional customer service skills with a focus on building positive relationships

- Ability to work independently as well as collaboratively within a team environment

Compensation & Path to Full-Time

- Starting Pay: $20/hour

- Hours: 25 hours per week during the initial probationary period

- Probation Period: 4 months

- Post-Probation: Eligible for full-time employment with benefits including health, vacation, and continued professional growth opportunities
