Role Summary:

The Administrative and Financial Coordinator will manage our day-to-day administrative tasks, oversee financial processes, and ensure compliance with legal and regulatory standards. The ideal candidate is someone who thrives in a dynamic environment, is adept at multitasking, and has a keen eye for detail.

Key Responsibilities:

Efficiently sort and manage incoming mail, discern required actions, and execute them promptly.

Manage the renewal of business licenses, insurance policies, and ensure compliance with state and local regulations.

Oversee financial obligations such as workers' compensation, audits, tax filings, and payroll processes.

Maintain meticulous financial records, manage billing, and handle sensitive correspondence with precision.

Utilize technology and systems to enhance work efficiency, organization, and innovation.

Qualifications:

Minimum of 3 years of experience in an administrative role with financial responsibilities.

Proficiency in Microsoft Office, ADP, QuickBooks, and familiarity with modern productivity and organizational tools (e.g., Motion, Notion, ChatGPT).

Exceptional organizational skills, attention to detail, and the capability to manage multiple priorities.

Skills That Are a Plus (But Not Required):

Experience with or a keen interest in modern technologies and software aimed at improving work efficiency, such as workflow automation, project management apps (like Motion and Notion), and AI tools like ChatGPT.

Aptitude for creating visual representations of progress and achievements to aid in visualization and tracking of project milestones.

Innovative mindset with experience in implementing automation in work processes to enhance productivity and efficiency.
