Receptionist Department: Service Admin Location: Las VegasSupervisor: Branch Manager Job Type: Hourly / Non-ExemptSUMMARYThe Receptionist is responsible for greeting visitors, helping them navigate through the office or to the appropriate person / department, answer phones and assists the Branch Manager. This position is also responsible for providing general office support.Responsibilities: The following responsibilities are a general guideline and not intended to be an exhaustive list of the full scope of responsibilities. Duties and responsibilities are subject to change based on business needs and at managements discretion.
Greets the public and refers to appropriate department and / or staff members.
Answers phones in a timely manner, route calls or takes messages as needed.
Ensure the professional appearance of the front lobby and waiting area.
Ensures the front desk is neat, presentable, and equipped with supplies to perform duties.
Sort and distribute incoming correspondence, including mail, emails etc. as needed.
Prepares outgoing mail including bulk mail, FedEx, payroll checks, courier services, etc.
May work with other departments to provide support with invoices in preparation for mail disbursement.
Service Department – daily
Rental Department – daily
Assists HR and the local branch with New Hire Orientation, including preparation of welcome bags, ordering and setup meals, snacks and beverages, update onboarding brief, arrange equipment for techs, schedule, and prep training room.
Sets up the conference room for special events and guests.
Maintains branch organizational chart for ASEC purposes.
Tracks and submits office supply orders; maintains supply closet inventory and cleanliness.
Performs a variety of general office support duties as assigned for all departments within the branch.
QualificationsEducation/Additional Requirements:
High school diploma or equivalent
Knowledge of administrative and clerical procedures and systems.
Proficiency with Microsoft Office software (Word, Excel, Outlook)
Customer service aptitude and attitude
Demonstrate excellent written and verbal communication skills.
Must be dependable.
Ability to multitask and meet deadlines.
Ability to think fast, have a sense of urgency, and thrive in a fast-paced environment.
Possess strong organizational skills and abilities.
