We’re looking for a part-time Executive Assistant to support our Chief Regional Officer (CRO). In this role, you'll compose correspondence, manage schedules, and coordinate meetings, events, and travel. Additionally, you’ll handle recording minutes, preparing reports, conducting research, assisting with administrative tasks, and managing building maintenance. Qualifications:

Proficient in English grammar (written and oral).

Excellent interpersonal and organizational skills.

Strong analytical abilities with a knack for managing multiple tasks.

Intermediate to advanced PC skills, including Office 365 (Teams, OneNote, Word, Excel, PowerPoint, To Do, OneDrive, SharePoint).

Ability to learn quickly and adapt to changing demands.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Composes and sends correspondence on behalf of the Chief Regional Officer (CRO).

Schedules and coordinates:

Meetings as assigned.

Corporate events (parties, celebrations, etc.)

Travel schedules

Other calendar events

Quarterly lunches

Semi-annual Executive Council meetings

Weekly Executive Council meetings

Semi-monthly departmental lunches with Chief Regional Officer

Semi-annual Management Review meeting

Quality meetings

Annual budget meetings

Annual sales meeting

Quality Audits Supplier Days

Other meetings/events as assigned.

Records meeting minutes and action items.

Performs research on various topics to assist with reports and meetings.

Research includes all countries in North and South America.

Topics may be related to (but not limited to):

Economics

Politics

Manufacturing

Employment

Completes miscellaneous projects as requested by the Chief Regional Officer and other members of management. May include:

Drafting and/or sending announcements regarding company policies.

Writing letters of invitation for colleagues requiring Visas.

Maintaining patent and trademark files.

Other tasks as assigned.

Prepares expense reports for the Chief Regional Officer.

Files correspondence and other records; make copies of correspondence or other printed material.

Lead for company functions (i.e., holiday party, company picnic, annual sales meeting, and quarterly meetings).

Submit and/or update monthly reports:

Quality department

Material Handling Industry of America (MHIA)

Flash report

Manages building maintenance.

Assists executive team with managing calendars and following up on assigned tasks.

Schedules travel for the executive and expanded teams: airfare/hotel/etc.

Provides data for generating reports and updates of production dashboards, on-time shipments, production to plan, safety, quality, and others as assigned.

Manages and sorts daily mail.

Supports and upholds quality and environmental health and safety policy.

Proficient grammar in English language - both written and oral.
