Work Hours: Monday through Thursday from 7:30 a.m. to 5:30 p.m.

DESCRIPTION OF COMPANY:

Plum Property Management was established in April of 2009 to provide real estate management to property owners and investors. Plum manages properties throughout Missoula and the close surrounding areas. Our properties include apartments, single-family homes, mobile home parks, storage facilities, homeowner and condo owner associations, and commercial properties.

Plum’s services consist of establishing rental rates, advertising, showing properties, negotiating leases, collecting payments, payables, forecasting requirements, preparing annual budgets, scheduling expenditures, tax preparation, initiating corrective action, resolving complaints, enforcing rules/laws, property inspections, maintenance coordination, cleaning coordination, planning renovations, establishing and enforcing precautionary policies, laws, and regulations, response to emergencies, and eviction preparation. Additionally, Plum prepares reports by collecting, analyzing, and summarizing data and trends within our industry. We accomplish knowledge by participating in educational opportunities, professional organizations, and maintain personal and professional networks.

SUMMARY OF THE POSITION:

Plum is seeking a full-time Accounting Clerk, with a focus on receivable tasks. The tasks will include:

- Perform daily payment management duties, including receiving and posting payments to Plum’s property management software system and prepare and deliver bank deposits. Employee must always check for accuracy of received payments and be detail-oriented to provide accurate financials records and reports.

- Receive and record all invoices related to Plum and its client’s utilizing Plum’s property management software system.

- Research payment issues, contact other department members, third-party vendors, and/or management to resolve payment issues and expedite receipt or delivery of payments.

- Monitor and collect on delinquent rental accounts. This will include communicating with renters via telephone, email, and mail frequently.

- Inventory management for the Plum office on a bi-weekly basis.

- Assist investment owners with question related to their financial statements. These statements may include, but are not limited, to a Balance Sheet, Profit & Loss Statement, Income Statements. Training will be provided upon hire.

- Answers telephones, opens and disburses mail, and assists in other clerical functions related to Plum’s renters and clients’ accounts.

- Performs other related duties as assigned.

REQUIREMENTS & EXPECTATIONS OF RESUME:

We are seeking a person who can fulfill the following requirements:

- Ability to read, write, understand, and communicate in English.

- High School Diploma or General Education Diploma. Proof upon interview required.

- Type a minimum of 40 words per minute. Proof upon submission of resume required.

- 1+ Years’ experience in office/clerical tasks and responsibilities.

- Prefer experience in accounting tasks and responsibilities, but not required.

- Prefer experience in the property management or real estate industry, but not required.

- Reliable automobile, proof of automobile insurance, and valid Montana state driver's license. Proof upon employment required.

- Efficient and skillful in computer skills including operating a Google email account, Microsoft® Office (Word and Excel).

- Have a clear understanding and application of basic office equipment. i.e., computer, printer, copier, 10-key calculator, scanner, lamination machine, texting/messaging, tablet, television, alarm system, and door code entry system.

REQUIREMENTS & EXPECTATIONS OF SKILL SET AND DUTIES:

We are seeking a person who can fulfill the following requirements:

- Ability to perform simple accounting procedures.

- Have knowledge of cash management principles and/or procedures.

- Present basic data entry and/or word processing skills.

- Be honest, trustworthy, and accountable.

- Present a professional representation of the company. Having face-to-face communication with Plum staff, renters, owners, and vendors requires your appearance, clothing, and personal hygiene to reflect the high-quality work being performed.

- Present a positive, polite, and helpful demeanor when communicating with property owners, renters, prospective renters, vendors, and all team members.

- Be able to delegate tasks and projects within your department or to other team members when work is unable to be completed.

- Be able to problem solve and be proactive in seeking areas of problems and rectifying those issues.

- Use professional etiquette regarding all in-person, email, and telephone correspondence.

- Can lift and/or move up to 40 pounds, when needed.

- Can sit and maintain computer screen time for long periods of time, as needed.

- Can quickly learn Plum’s property management-based software program and interoffice communication app. Plum’s property management-based software program is comparable to QuickBooks Pro. Plum’s interoffice communication app is comparable to Google Messaging or basic cell phone text messaging.

- Protect confidentiality as outlined within the employee handbook and non-disclosure agreement.

- Follow all policies and procedures outlined in the job description, provided checklists, and employee handbook.

- Comply with local, state, federal, and company policies, procedures, and regulations. Training to be provided.
