Modern Plumbing and Heating has been in business for almost 9 years serving the Flathead Valley with all of their plumbing and hydronic heating needs. The second year in business we won Best of Flathead as well as the 2018 BBB Torch Award of Ethics, which is given to only one business per year, per state, followed by winning Best of Flathead every year since. We feel very blessed! The core of who we are is integrity and believe in treating all of our customers like we would want to be treated. Modern Plumbing and Heating’s motto is, “Serviced Once, Customer for Life.” Striving to provide our customers with consistent, well rounded customer service for every customer starts and ends with this position. As an Office Manager/Scheduler, you are the first person that a customer interacts with and the last conversation, with a follow up call at completion of service and everything in between. Making sure we get all info inputted and relayed accurately with the least amount of back and forth is vital to keeping the customer happy and making sure we have all the information right the first time to serve our customers as efficiently as possible. Requirements:
Personable and be able to communicate cheerfully and effectively
Extremely detailed oriented, very accurate, very organized
Ability to multitask and follow systems in place
Technically proficient and able to easily adapt to new programs
Multi line phone
Typing speed average 40 WPM and able to type while on the phone
Being able to thrive in both an independent work environment and also in a team setting

Quick learner
Excellent memory
Knowledge of plumbing industry is a plus but not required and can be trained
Ability to work M-F (7:30 to 5:00)
Job Duties:
Forecast schedule a week to a month out
Strategically schedule our plumbers to fit both non emergency and emergency calls to be able to be as efficient as possible so we can help the most amount of customers as possible
Taking all incoming customer calls and performing outgoing calls with a smile
Interacting with distributors to ensure proper parts are on the jobsite at time of service
Notating customer accounts in real time with all customer and team member interaction
Perform followup calls for customer satisfaction and appointment reminders for following week
Send out marketing mailers
Being proactive and organized to follow up with customers for missing information to assure all upcoming jobs are ready to service at time of appointment
Being able to accurately gather details of work needed, customer info and contact information
Ordering office supplies
Creating and sending out invoices, along with collecting payments
Being consistent with providing all customers with important information for full transparency
Learning to ask the right questions and gather images, to be as prepared as possible at time of service
Communicate effectively through email, text and phone
Ability to learn Jobber scheduling software
