Job Description:
We are seeking a highly organized and motivated Office Manager to join our dynamic team, a leading property management company. The Office Manager will play a key role in ensuring the efficient operation of our office, handling administrative duties, supporting property management staff, and providing excellent customer service to tenants and property owners.
The ideal candidate will have strong multitasking abilities, exceptional attention to detail, and the ability to work in a fast-paced, team-oriented environment. Additionally, there is an opportunity for professional growth—after gaining experience, the Office Manager will have the option to become a licensed property manager, providing career advancement within the company.
Key Responsibilities:
Office Management:
Oversee day-to-day operations of the office, ensuring a smooth and efficient workflow.
Answer phones, emails, and handle client and tenant inquiries with professionalism and courtesy.
Manage office supplies, ordering and restocking as necessary.
Maintain and organize filing systems, both electronic and physical.
Administrative Support:
Assist the property management team with tenant applications, lease agreements, and move-in/move-out procedures.
Prepare and distribute monthly rent statements, notices, and correspondence to tenants.
Coordinate maintenance requests and vendor services, ensuring timely responses and resolutions.
Keep accurate records of property activities, tenant communications, and financial transactions.
Customer Service:
Build and maintain positive relationships with tenants and property owners.
Act as a point of contact for tenant concerns, property issues, and general inquiries.
Ensure tenant satisfaction through effective communication and problem-solving.
Financial and Reporting:
Assist with invoicing and tracking of outstanding payments.
Prepare reports and assist with budgeting for property maintenance and improvements.
Additional Responsibilities:
Coordinate meetings, property inspections, and appointments.
Ensure compliance with local and state regulations regarding property management.
Qualifications:
Proven experience as an office manager or administrative role in property management or a similar field.
Strong organizational skills and attention to detail.
Excellent communication skills (written and verbal).
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and property management software (experience with AppFolio, or similar is a plus).
Ability to multitask and prioritize in a fast-paced environment.
Customer-focused with a professional demeanor.
Previous property management experience is a plus, but not required.
