GENERAL FUNCTION:

Under the guidance of the CEO, the Client Services Coordinator is responsible for customer service relationship between participants from children to older adults with developmental and acquired disabilities, parents/guardians, case associates, and funding sources and the Aqua Ability Program. The Client Services Coordinator organizes the daily schedule of the Aqua Ability Program, funding issues in collaboration with Department of Mental Health and other funding agencies. maintaining client medical and billing files in compliance with HIPAA, and liaison between office and remote programming locations. The Client Services Coordinator will also perform some bookkeeping functions.

KNOW HOW:

Background must include strong organizational and interpersonal abilities with strong oral and written communication skills as well as attention to detail. Must be self-motivated, requiring minimal supervision. An understanding or a willingness to learn the mechanism involved in the funding process for the Department of Mental Health, other funding agencies and insurance billing/reimbursement. An understanding of general book keeping procedures. Also, an ability to relate to people with disabilities and understanding of the “person first” concept.

JOB SEGMENTS:

Serves as the first point of contact for the organization by answering the phone and greeting clients.

Develop and maintain relationships with current and potential funding sources.

Be responsible for maintaining accurate record of client charges, payments, and funding sources which includes billing of clients or funding sources on a monthly basis. As well as following up on past due accounts.

Follow up on insurance billing/reimbursements and rejections, verify participants insurance coverage and benefits for aquatic therapy.

Perform some basic bookkeeping functions.

Develop and maintain good working relationship with clients, parents/guardians, support staffs, and case Associates.

Responsible for maintaining funding and requesting funding at the end of the client’s plan year for upcoming sessions of AAP.

Responsible to stay current on all DMH procedures, trainings and updates.

Responsible to stay current on all insurance billing/reimbursement procedures.

Serves as SMAF’s representative during DMH and other funding agencies audits, providing requested information and report findings to CEO.

Serve as a liaison between office and staff performing programming at remote locations.

Handle changes, questions, and concerns regarding Aqua Ability Program.

Conduct initial phone interview with potential clients and forward initial client information packets.

Helps the team of therapists creating the schedule for upcoming sessions of the Aqua Ability Program.

Maintain medical and billing files in compliance with the HIPAA regulations.

Forward monthly progress notes to case associates of DMH funded clients.

May assist in forwarding progressive evaluations to client, physician, and funding source on a quarterly basis.

Responsible for leading team with promotional events including vendor or community fairs, etc.

Assist and promote fundraising events.

Assume other duties as assigned.

EFFECT ON END RESULT:

This position is primarily concerned with ensuring quality programs and building positive long-term relationships with clients, parents/guardians, support staffs, and funding sources. Successful fulfillment of this position should be measured by:

Continuous client participation and growth of the Aqua Ability Program.

Compliance with Department of Mental Health, Developmental Disability Resource Board, Community Opportunities for People with Disabilities (Lincoln Co.), PLB and the Pike County Agency for Developmental Disabilities (PCADD) regulations regarding funding.

Consistent high rating of customer satisfaction reflected by the annual quality assurance survey.

Meeting the anticipated revenue goal.

Ability and willingness to work in an interdisciplinary team.

Coordinate multiple tasks simultaneously.
