ROLE AND RESPONSIBILITIES
The Office Administrative Assistant will provide administrative and office support for senior management. assist with HR, sales support and accounting duties as needed. The Office Administrative Assistant will report to the Senior Vice President and is expected to efficiently conduct all duties and responsibilities as assigned.
Extensive software skills, Internet research abilities and strong communication skills are required.
Duties and Responsibilities
Answering phones
Customer Service
Provide professionally written correspondence to customers
Create company notifications on behalf of leadership and share via email
Manage office supply inventory and order supplies as needed
Help keep the supply and breakroom tidy and organized
Schedule maintenance workers for office maintenance and repairs
Assist the Senior VP with HR tasks and duties
Run errands as needed
Assist with reviewing sales contracts and orders as needed
Assist with the collection and distribution of the mail as needed.
Assist with accounts payable and accounts receivable duties as needed.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
Bachelor’s or associate's degree preferred.
2-4 years of office administration/office management is preferred. Must be able to coordinate and participate in team meetings to complete tasks.
Must be detail-oriented and very organized; have the ability to manage multiple work calendars
Be able to work in a participative team-oriented environment, work with customers (internal and external), suppliers, and others in a professional manner
Must have the ability to work in a dynamic time-sensitive, deadline environment with multiple priorities
Strong computer skills with the Microsoft Office suite
Excellent problem-solving and resolution skills
strong interpersonal and communication skills, and be able to communicate with customers and suppliers professionally, both written and verbal
