Executive Assistant - President and Board of TrusteesClassification Summary:Incumbents provide advanced administrative services requiring a broad knowledge of the assigned department/division. Responsibilities may include collecting, reconciling, and maintaining complex data/systems; coordinating and implementing departmental processes; providing accurate information during high-impact and risk situations; monitoring budgets, accounts, billings, and/or expenditures; monitoring project timelines and identifying issues; preparing financial and/or statistical reports; and planning and coordinating events. Incumbents may supervise student workers and/or part-time staff.Minimum Education and/or Training and Experience:Associates degree and five years progressive experience providing administrative services, or a combination of education and senior administrative support experience.Preferred Education and/or Training and Experience:Licensing Requirements: NoneClassification Duties:Manage activities within the Presidents Office by providing administrative, operational and organizational support; relieving the President of a variety of administrative matters by assuming delegated authority involving routine matters. (C4)Gather, compile, evaluate, and summarize data for special projects and prepare reports as directed. (C4)Serve as Board of Trustee Secretary, including confirming accuracy of meeting agendas and contents, distribution of agendas, attending and documenting all Board of Trustees meetings, corresponding with Board members regarding meetings and upcoming events, etc. (B2)Maintain the Board of Trustees meeting management system by assigning permissions for appropriate personnel, setting up approval system, troubleshooting, and serving as a liaison with system vendor. (B2)Handle all logistics for meetings and events hosted by the Presidents Office and affiliated external organizations. (B2)Manage the Presidents calendar and appointments and handle logistics of all travel for the President and Board of Trustees. (B2)Maintain confidential records and files related to the College and Board of Trustees.
