Hiring: Administrative Assistant/Operations Coordinator for Property Management Company
We are looking for a highly organized, and proactive Administrative Assistant/Operations Coordinator to help manage our self-managed real estate portfolio spanning six states.
This role requires someone who can efficiently handle daily operations and communications.
Responsibilities include (but are not limited to):
Task Management – Keeping track of ongoing projects and ensuring completion via Trello, Google Drive, sheets, Ring central Voip, & Gma
Tenant, Vendor, and On-Site Manager Communications – Handling calls, emails, and messages professionally.
Tenant Screening – Processing applications.
Coordinating Showings – Scheduling and organizing property tours with prospective tenants and on site managers.
Creating & Managing Lease Agreements – Drafting, sending, and ensuring the signing of e-leases.
Government Program Coordination – Initiating and managing subsidized housing contracts.
Vendor Management & Maintenance Coordination – Finding vendors, obtaining multiple quotes, & scheduling repairs.
Expense Tracking & Light Bookkeeping – Monitoring costs and assisting with financial record-keeping via Reihub (similar to quickbooks)
Other General Administrative & Operational Duties as needed.
Ideal Candidate Qualifications:
Excellent Communication Skills – Clear, professional, and responsive.
Strong Conflict Resolution & Thick Skin – Ability to handle difficult tenants or vendors calmly and effectively.
Tech-Savvy – Comfortable using our basic tech stack - Google drive, google sheets, Trello, Ringcentral voip, dropbox, hellosign, ect.
Highly Organized & Detail-Oriented – Can juggle multiple tasks and deadlines efficiently.
Reliable & Responsive – Available to take calls, respond to emails, and follow up promptly.
Self-Starter, Self-Motivated, with a Non-Hectic Lifestyle – This role requires consistency and availability during, & after working hours.
Compensation & Work Details:
Part-time initially - Flat Rate - 1x per month pay (negotiable) (80-120hr /mo) - Huge growth potential, with opportunity for rapid advancement.
Pay is competitive and based on experience (will train the right person)
