Position Summary: The People Operations Assistant supports the efforts and goals of the People Operations/Human Resources office. This position is responsible for supporting HR administrative functions and providing a positive and collaborative experience for employees and visitors. Essential Job Functions and Responsibilities:
· Serve as first point of contact for the HR department.
· Maintains HR department mail and email box and ensures messages are routed to the appropriate person.
· Receive and screen telephone calls, using independent judgement to determine priority of call and referring non-HR calls to the appropriate office.
· Establish and maintain personnel files. Responsible for consistent document management (scanning & filing).
· Ensures address changes in Banner and green pages override data and office phone in Banner.
· Process employment verification, public service loan forgiveness requests.
· Assists with the planning, preparation, and drafting of the employee newsletter on a biweekly basis.
· Responsible for updates to People Operations/HR website.
· Coordinate business card orders and processes through Communications Office.
· Coordination between HR & Dean’s Office to order flowers and/or send appropriate cards to employees.
· Assist with tracking of departmental expenditures.
· Prepare and process departmental invoices for payment and expense reimbursements.
· Coordinate logistics and preparation for New Employee Welcome and orientation.
· Serve on the Employee Celebrations Committee and Graduation Planning Committee. Assists with employee events and functions including wellness initiatives.
· Assist with work orders to facilities for maintenance and repairs.
· Provides general clerical support to the People Operations team.
· Maintains department inventory and orders supplies.
· Coordination with the Dean’s Office regarding monthly employee birthday cards.
· Assists with the Wellness initiatives and activities.
· Prepares flyers, posters and updates for People Operations/HR bulletin boards.
· HR project work, other duties as assigned.
· Maintains high level of confidentiality.

Required Qualifications: This position requires: · High School Diploma · Must be a self-starter, who works well in a fast-paced environment. · Proficiency in use of Microsoft Office suite including Word, Excel, Teams, and Outlook. Work Environment: Routinely work in an office setting during normal hours of operation for university offices. Will require some light travel to DeLand campus. Required Experience
