Job Description1. 70% Events Management/Sponsorship Acquisition/Donor Relations

Provides leadership for special events including implementing the events on time and on budget; provides leadership to volunteers involved with special events as necessary and appropriate to successfully execute event and to successfully draw key volunteers closer to the work of the organization.

Grow the event and corporate sponsorship base of support – drive the strategy and direction around the cultivation, stewardship, and solicitation of event and corporate prospects as well as work with the team to develop and implement a strategy for successfully bringing in more transformational gifts and multi-year commitments for the organization.

Maintain stewardship contacts with donors; adhere to the highest ethical standards; demonstrate empathetic disposition and perseverance; reflect optimistic and positive attitude, and convey sensitivity to needs of the donors.

Makes follow up calls to event attendees, documents comments, summarizes donor and attendee feedback; acts as a liaison between special events volunteers and Catholic Charities.

Provides consultation, or recruits appropriate Catholic Charities staff to provide consultation, to special events volunteers to maintain Catholic Charities standards regarding its mission, publicity, quality assurance, human resource practices, purchasing, and risk management, as necessary and/or appropriate.

Provides periodic progress reports as necessary for the project.

Maintains the file documenting steps, timelines, and inventory necessary to accomplish each event.

Leads events, such as Mardi Gras, including planning of logistics, silent auction, coordination of donations, mailings, confirmation of donations, collection of auction items, work with volunteers.

Implements successful Point of Entry events for major donor/prospects to help bring them closer to the work of Catholic Charities.

Listens to what key volunteers, donors, and tour attendees are telling us about the work of Catholic Charities and how to motivate them and others to grow in their volunteer involvement and philanthropic giving, adjusting methodology accordingly.

Recruits, trains, equips, and enlists the help of key volunteers/ambassadors who will assist with the work of various Organizational Advancement functions and who will grow in their involvement with the work of Catholic Charities.

Composes and sends personalized thank you letters on a regular basis to volunteers and donors involved in projects.

2. 10% Community Outreach Activities, including speaking engagements

Is active in the community, including attending non-Catholic Charities events.

Has regular contact with local civic organizations, churches, social services agencies, business networks, and the higher education community.

3. 10% Marketing/Communications

Recruits donors and donor prospects to attend Point of Entry events and tours as necessary.

Creates/executes calling strategy to effectively contact donors, tour prospects, and tour attendees to maintain accurate records of calls attempted and calls completed.

In collaboration with Development Officers, determine who to contact by phone and in-person those who attend Point of Entry events to discover what is important to them and what they would like to further explore about the work of Catholic Charities.

Assists Development Officers and Director of Organizational Advancement with recruiting and communicating with Table Hosts.

In partnership with Marketing, creates, updates, and pushes all marketing for event success including social media, website, and collateral.

Prepares invitations, or manages the creation of invitations, as necessary for events to produce large-scale event publications, such as Ask Events.

4. 10% Administrative Responsibilities

Inputs relevant event contact and gift-in-kind information in the fundraising software; generates reports as required for meetings and progress updates.

Coordinates and maintains an electronic central file (archive) for Catholic Charities donor relations events; maintains an archived hard-copy file of all related event fundraising and collateral materials.

Assists in preparation of budgets for events and maintains event expenses/revenue reports.

Maintains, in partnership with the Organizational Advancement department, the Circle of Hope and Evergreen donor lists.
