This position exists to serve as a service point to provide necessary information and assistance in guiding students regarding the enrollment-application processes, financial aid, testing, records, library, student services, and general college operations. This position provides the first point of contact for assistance and support to internal and external stakeholders.PRINCIPLE RESPONSIBILITIES AND RESULTS1. Serve as a Student Success clerical processor for the college records and student services-related activities, ensuring all requirements are met for timely processing.

Support clerical processes for college records and student services. This includes the assistance in maintaining student records and acquiring applicable documentation(s) (i.e., transcripts, background checks, immunization records) required per PTCC programs.

Alert applicable staff regarding applicants who have anomalies with their records.

Work with other student services areas to ensure all requested documentation(s) are received.

Assist in the implementation of admission policies and procedures that are equitable, effective, unbiased, and in compliance with federal, state, college, and Minnesota State regulations.

Conduct regular student outreach to confirm student appointments and connect students with appropriate PTCC services and departments.

2. PTCC Library support and circulation-desk coverage.

In collaboration with the college librarian, assist in the organization and circulation of library materials, incoming postal mail, periodicals, and newspaper records.

Monitor the library space and be available for library patrons, providing basic computer use, library, and other PTCC services. Forward applicable questions to the librarian as needed.

Create PTCC IDs, including monitoring the PTCC ID request form regularly. Develop documentation for library operating procedures and tasks as requested.

Provide secondary support with Interactive Television (ITV) in partnership with the PTCC IT department, faculty, and other Academic and Student Affairs (ASA) staff. This includes assisting with campus printing services and procurement of supplies as requested.

3. Support the campus testing center.

Serve as the secondary support for the testing center, including proctoring academic exams for PTCC, Minnesota State, and other colleges, and proctoring accommodated tests approved by Disability Services.

Provide PTCC professional testing services (Pearson Vue, DSST, CLEP, etc.).

Work with the Testing Center Coordinator to troubleshoot online test and assessment system issues and work with PTCC and/or vendor technical support to resolve the issues within delegated authority.

4. Support Student Success department initiatives and activities.

Collaborate with college librarian and ASA department to promote library programming and other college-wide events.

Serve as one of the PTCC phone switchboard support.

Provide customer service and information through electronic shared-email communication (i.e., [email protected] , [email protected] , etc.).

5. Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.Minimum Qualifications

Ability to provide prompt and accurate information to others, whether in-person, on the phone, or through email and other written or electronic correspondence.

Ability to accurately input, verify, and edit electronic data.

Knowledge sufficient to check input and output data for completeness, accuracy, and discrepancies.

Preferred Qualifications

Experience working knowledge of library operations including cataloging, process acquisitions of materials, and locating existing materials.

Demonstrated ability to learn new and evolving student services in higher education.

Ability to work with people of diverse backgrounds.
