Garlock-French has been serving the Twin Cities since 1932. We are leaders in roofing and storm damage restoration in the Twin Cities and provide high quality workmanship in a variety of services including: roofing, masonry, chimneys, custom metal work, gutters, and storm restoration (roofing, siding, window, gutters and other trades as needed).

Scheduler Description and Job Posting:

The scheduler at Garlock French Roofing manages the projects and client communication from the time a sale closes to the start of production. The scheduler is a vital position to the production team. The scheduler works in tandem with the Scheduling Assistant and Operations Manager to accomplish all these goals.

Required knowledge and skills:

Experience in the construction industry (highly preferred).

Basic Microsoft Office knowledge: Word, Excel, & Outlook

Knowledge of Microsoft Project or Smartsheet (Preferred).

Possess client-facing soft skills.

Ability to determine tasks that can be completed by Scheduling Assistant.

Works well in a team setting and sharing responsibility.

Is committed and dependable, plans absences well in advance.

Job Description by Area:

Scheduling:

Schedule in a process approved by Garlock French Roofing.

Sets tentative long-term schedules and specific short-term schedules.

Determines the duration to complete a project based on paperwork from sales team.

Orders materials and sets delivery dates to coincide with project starts.

Creates a tentative production schedule for both the year and individual projects.

Creates current lead time projections based on organizational systems.

Adjusts schedule, crews, & deliveries on short notice.

When necessary, schedule someone to meet city inspectors.

Schedule jobs and crews as efficiently as possible considering proximity and personnel and other projects.

Interdepartmental connectivity

Collaborate with supervisors and project managers to determine and schedule the most appropriate personnel for the job.

Communicate long-term schedule and proposed start dates to sales department, production department, clients, & suppliers.

Communicate and display short-term schedule and crew information to field personnel, management team (employee supervisors, IC project managers, and operations manager), clients, & suppliers.

Ability to hold firm start dates for clients and salespeople (when necessary).

Works closely with the operations manager.

Communication:

Sends out project information to independent contractor crews and Garlock French project managers.

Makes introductions between clients and project managers prior to their job start.

Keeps a record of all client, crew, vendor communication, and special requests while the project is in the scheduling phase.

Responsible for all customer updates before the start of a project.

Responsible for customer contact when a project manager is out sick.

Responsible for customer updates during weather delays.

Will be the second contact person if the project manager is unavailable.

Field customer calls regarding scheduled jobs, questions, and requests.

Field customer concerns and direct those to the appropriate person.

Can direct a customer to the appropriate Garlock French employee.

Permits and materials:

Confirm that all necessary paperwork has been completed before the start of the project, such as permits, waivers, affidavits, and special orders.

Assist the project managers with coordination to make sure the crew has what it needs before it starts (materials, delivery date, special orders, dumpsters, equipment & cranes).

Other:

The scheduling position is a full time in-office position (cannot be done remotely).

Maintain organizational strategies for inventory, suppliers, sub-contractors, municipalities, and other production related support.

Other responsibilities as determined.
