We work closely with owners, architects and the entire planning team well before ground is broken; providing cost analyses, scheduling information, and value engineering services to ensure that our client can make informed decisions leading to a timely finish of the highest quality and the best value.Summary:This position will be responsible for accounting and billing responsibilities for Kraus-Anderson (KA) Yard operations.Essential Duties and Responsibilities:

Provides historical references for defining procedures for retention, protection, retrieval, and operational access of records for multiple systems utilized by KA Yard Operations.

Tracks movement of all chargeable fleet vehicles and trailers and provides current and accurate data for billing.

Maintains record of tools assigned to field personnel and provides monthly reports as requested by field or office staff.

Provides backup to City Desk i.e. Answering yard phone lines, distribution of equipment, tools, and consumables in support of field personnel based on requests from Superintendent, Project Managers (PM), and General Superintendents.

Distributes appropriate paperwork to PMs, Superintendents, Accounting, and Yard Management.

Prepares purchase orders (PO) for field and all offices.

Close Purchase orders in accounting system.

Set up all KA projects in production system.

Set up all KA small projects in Viewpoint.

Updates and maintains all production rate sheets

Attaches all backup to purchase order PO numbers and maintains PO inbox.

Sets-up all new vendors in production system.

Works with Accounting to ensure vendors are paid and accounts are current.

Calculates and provides all billing for Kraus Anderson Yard Operations services.

Tracks vendor rebate programs.

Informs Senior Management with necessary reports.

Provides Project Accounting with reports of tool/cost and coding as assigned to projects and Superintendents.

Ensures all necessary regulatory posters are stocked for posted on jobsites and Yard office. (OSHA compliance) .

Handles customer inquiries and complaints.

Responsible for project close out in production system.

Participates in project kick off meetings as needed.

Completes monthly billing activities of consumables and equipment in applicable billing and production systems.

Works with Accounting to complete monthly billing of KA Superintendent Trucks in the applicable systems.

Responsible for generating external invoicing

Assists with maintaining equipment maintenance records

Responsible for shipping and receiving as needed

Provides assistance with yearly apparel allocation and apparel as needed.

Assist KA personnel with walk in orders.

Work with outer yard office management as needed.

Will be required to work in office, warehouse, and jobsite conditions

Performs other duties as assigned

Required Knowledge, Skills and Abilities:

High school diploma or General Education Development (GED) certificate

3-5 years’ related experience; or equivalent combination of education and experience

Demonstrated computer proficiency (MS Office – Word, Excel, Access and Outlook)

Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers

Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service

Ability to use time productively, maximize efficiency and meet challenging work goals

Ability to maintain compliance with all company policies and procedures

Ability to possess and maintain exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and others

Preferred Knowledge, Skills and Abilities

Knowledge of ViewPoint computer software

Knowledge of Align computer software

Bachelors Degree in Accounting or Business

Other:

Valid Driver's License and ability to maintain a satisfactory Motor Vehicle Record.

Travel to job-sites as needed.
