The cover letter should address your specific interest in the position and outline skills and experience that directly relates to this position.Job SummaryReporting to the Associate Registrar, the Assistant Registrar for Graduation and Records plays a critical role in ensuring the integrity and accuracy of student academic records while overseeing the graduation clearance process. This position is responsible for degree auditing, verifying the completion of degree requirements, coordinating degree conferral, and guiding students, faculty, and staff on graduation procedures and policies. Additionally, the role involves supervising staff, managing academic records, generating reports on graduation and degree completion metrics, and supporting the university's commencement ceremonies.ResponsibilitiesDegree Auditing:

Oversee the comprehensive audit of student records to verify completion of degree requirements.

Collaborate with academic departments to resolve complex degree-related issues and exceptions.

Conduct degree audit testing and training.

Provide guidance to students, faculty, and staff on graduation requirements, related procedures, and institutional policies.

Degree Conferral:

Oversee the graduation clearance process, ensuring all academic requirements are met for eligible candidates.

Coordinate the conferral of degrees and the production of diplomas.

Assist University officials in trouble shooting individualized graduation concerns related to students.

Communicate with eligible candidates, guiding them through the graduation clearance process, while contributing to communication plans aimed at improving student retention and graduation rates.

Support the Chancellor's Office with the planning and implementation of the university's commencement ceremonies.

Academic Records Management:

Coordinate the maintenance of student academic records, ensuring accuracy and compliance with institutional policies.

Reporting:

Generate and analyze reports related to graduation, degree completions, and other relevant metrics.

Contribute to institutional reporting requirements.

Supervision:

Provide leadership and supervision to staff, ensuring productivity, compliance with established policies, and staying informed through regular training sessions on university policies and degree requirements.

Required Qualifications

Bachelor's degree

Two or more years of experience working in a Registrar's Office, academic advising, or similar academic administration

Knowledge of university policies and accreditation standards

Familiarity with student information systems and record-keeping software

Experience with database systems, troubleshooting & implementation of data systems
