Position Overview:

We are looking for a highly organized and proactive Executive Assistant to support our operations and administrative team. The ideal candidate will be detail-oriented, self-directed, and able to anticipate the needs of our leadership team. You will play a crucial role in optimizing team and executive productivity by managing schedules, facilitating communication, and handling a variety of administrative/operational tasks. You will be working directly with the Chief Operating Officer on a variety of tasks and projects and proactively “take work off the plate”. While training and onboarding is certainly provided and a constant collaboration effort, we really want a candidate who can hit the ground running and help shape our systems based on their own professional experience.

Key Responsibilities:

- Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and organizing travel arrangements.

- Act as a liaison between executives and internal management teams, ensuring effective communication and collaboration.

- Help train and supervise staff, liaise with clients, colleagues, and other assistants.

- Be proactive in identifying and addressing the needs of executives, managing tasks and projects with minimal supervision.

- Prepare and edit correspondence, reports, and presentations, maintaining a high standard of accuracy and professionalism.

- Coordinate and prioritize executive tasks, ensuring timely completion and follow-up.

- Manage confidential information with discretion and maintain a high level of integrity.

- Assist in organizing general office duties, company events, meetings, and conferences, as they come.

- Maintain company internal administrative systems.

- Independently complete administrative and operational projects and tasks.

Qualifications:

- Proven experience as an Executive Assistant or in a similar role, preferably within the real estate or investment industry.

- Exceptional organizational skills and attention to detail.

- Strong ability to self-direct and take initiative, anticipating the needs of executives.

- Excellent communication and interpersonal skills, with a friendly and professional demeanor.

- Proficiency with computers, Google Drive, task management software, calendars.

- Ability to multitask and manage competing priorities in a fast-paced environment.

- High levels of integrity, empathy, discretion, and confidentiality. And a positive attitude!

- Keen eye for marketing is a plus.
