We are seeking a proactive and detail-oriented Executive Assistant to support our owner in managing daily operations and ensuring the smooth functioning of the business.
Key Responsibilities:
Calendar & Schedule Management:
-Efficiently manage the owner's calendar, scheduling and prioritizing appointments, meetings, and events.
-Coordinate with internal and external stakeholders to ensure timely and organized scheduling.
-Send reminders and updates to ensure punctuality.
Communication & Correspondence:
-Act as the primary point of contact for internal and external communications.
-Screen, prioritize, and respond to emails and other communications on behalf of the owner.
-Draft and proofread various documents, reports, and correspondence to ensure accuracy and professionalism.
-Research & Information Management:
-Conduct research on various topics as assigned, providing concise summaries and recommendations.
-Organize and maintain digital and physical files, ensuring easy retrieval and confidentiality.
Meeting Coordination & Support:
-Prepare agendas, gather necessary materials, and set up meeting logistics.
-Take minutes during meetings and ensure timely distribution to relevant parties.
-Follow up on action items and ensure deadlines are met.
-Office Organization & Administration:
-Maintain an organized office environment, including managing supplies and equipment.
-Handle incoming calls, mail, and visitors professionally.
-Assist with personal tasks as needed to support the owner's work-life balance.
Qualifications:
-Proven experience as an executive assistant or in a similar administrative role.
-Strong organizational and time-management skills.
-Excellent written and verbal communication abilities.
-Proficiency in Microsoft Office Suite and Google Workspace.
-Ability to handle sensitive information with discretion and confidentiality.
-High school diploma required; associate's or bachelor's degree preferred.
