Job Description

We are seeking a detail-oriented and organized Office Manager & Bookkeeper to join our growing custom cabinetry company. This is a unique opportunity to play a vital role in the daily operations of an established 10-person team creating high-end custom cabinets. You will report directly to the Director of Operations, Finance & Engineering and work closely with our entire team to ensure smooth daily operations. The ideal candidate will thrive in a hands-on environment where they can make an immediate impact on our business efficiency and customer experience.

Your role/tasks will include the following:

Office Management

- Customer Service Excellence: Answer phones professionally, assist customers with inquiries and common questions, take detailed notes and pass along messages to relevant team members

- Maintain Office Environment: Maintain a clean, organized, and welcoming office space including management of staff kitchenette, supplies, and common areas

- Document Management: Organize and maintain both physical and digital filing systems using Google Drive and Airtable

Administrative Coordination: Schedule meetings, coordinate between departments, and support daily operational needs

- Vendor Relations: Handle basic vendor communication, coordinate supply deliveries, and process vendor returns with manager approval

Bookkeeping & Financial Administration

- Accounts Receivable & Payable: Process and send all customer invoices and statements, pay bills to vendors and utilities, and manage all incoming and outgoing payments

- Daily Financial Tasks: Enter transactions in QuickBooks and maintain accurate financial records

- Payroll Processing: Manage biweekly payroll through QuickBooks payroll system for 11 employees

- Monthly Financial Responsibilities: Reconcile bank accounts monthly and file and pay state sales tax monthly

- Financial Organization: Maintain organized records for our accountant, including expense tracking and financial documentation

- Collections: Monitor accounts receivable and follow up on outstanding invoices as needed

Administrative Support

- Operations Support: Assist Director of Operations with special projects, data entry, administrative tasks, and coordinate material sample mailings for the sales process

- System Management: Maintain accuracy in our Airtable project management system and Google Drive organization

- HR Coordination: Support basic HR functions including maintaining employee files and benefits coordination

Compensation, Hours, Performance Review:

Hourly Rate: $24-28/hour based on experience

Work Schedule: 32 hrs/week, Monday-Thursday 8:00 AM - 4:30 PM with at least a 30 minute lunch break.

Benefits include: 6 paid sick days, 3 weeks paid vacation, 1 week unpaid time-off, paid holidays (see Boxco Employee Handbook for more information) and a matching 401K for employees who have been with us for longer than 6 months. (Note: 1 day = 8 hours.)

You will have quarterly check-ins and annual performance reviews with your manager.

Required Experience and Skills:

- Experience: Minimum 1-2 years of bookkeeping and/or office administration experience

- Software Proficiency: QuickBooks (required), Google Workspace (Gmail, Drive, Docs, Sheets), Basic familiarity with database systems (Airtable experience preferred but not required)

- Skills: Strong attention to detail, excellent phone manner, and ability to multitask in a dynamic environment

- Personal Qualities: Self-motivated, professional, and comfortable working in a manufacturing/shop environment

Preferred Experience

- Experience with payroll processing and sales tax filing

- Previous experience in manufacturing, construction, or trades-related businesses

- Customer service experience

- Experience with accounts receivable/payable processes and bank reconciliation

- Familiarity with state tax compliance requirements
