We are a boutique digital media firm, located in downtown North Adams, looking for a part-time, in-house Operations Coordinator. We are looking for someone with an interest in media, storytelling, and event-planning. We produce weekly content to an audience of more than 1 million. The vibe here is very: responsible but fun, inspired but research-driven, collaborative and community-focused but self-motivated and driven. This is a great opportunity for someone looking to grow and learn within the world of digital media.

Preferred hours:

Monday - Thursday, 10 a.m. to 2 p.m.

Additional hours available as needed.

Responsibilities:

Support owner with administrative tasks; including calendar management, filing, email review, and travel arrangements.

Maintain production calendar for media releases, ad buys, and travel.

Oversee merchandise fulfillment, including shipping, inventory, and online store.

Assist in creating and executing strategic social media campaigns that are visually appealing, on-brand, and meet company objectives.

Maintain and assist in content creation for the company websites (Wix).

Keep digital administration accounts (including QuickBooks) current.

Establish and maintain effective filing systems (both digital and physical).

Work closely with production, research, leadership, and marketing to understand and assist with needs and objectives.

Assist with travel arrangements including researching and booking flights, hotels, trains, car rentals, etc. Create travel itineraries with all relevant information including on-site contacts and reservation numbers.

Assist with event planning and management.

Assist with outreach and procurement of licensing agreements.

Provide hospitality support, including setting up/cleaning up food and beverages for guests and events.

Act as a liaison between the owner and clients, collaborators, and vendors.

Understand and maintain the brand, mission, and values of the company in all communications, content creation, and operations.

Manage multiple projects simultaneously while maintaining a high level of attention to detail and quality.

Requirements:

1-3 years of experience in office management, personal assistance, or production assistance.

Ability to work independently and as part of a team.

Strong attention to detail.

Strong ethics, good judgment, and discretion and confidentiality in matters that may impact the business.

Ability to manage multiple projects and meet tight deadlines.

Strong written and verbal communication skills and ability to collaborate effectively with other team members and clients.

Ability to work effectively in a fast-paced environment with changing priorities, while maintaining professionalism.

Flexible, open to learning, and creative.

Strong organizational skills.

An interest in digital media.
