Aspen Square Management is one of the nation's largest privately held real estate investment and property management firms with properties in 13 states. Headquartered in West Springfield, MA, our Home Office houses our Accounts Payable (AP), Accounts Receivable (AR), Human Resources, Management and Operations departments that support our over eighty apartment communities in the field.
This position will play an integral role for our finance and operations teams by directly supporting our on-site staff with all Accounts Payable and Vendor Management functions. The Vendor Compliance and Accounts Payable Specialist will manage a portfolio of properties and handle all inquiries for their invoices and vendors and addition to ensuring all Vendors are in compliance with company insurance requirements and contract specifications.
Responsibilities for Vendor Compliance and Accounts Payable Specialist
Accurately review, code, and process vendor invoices
Perform monthly reconciliations of vendor statements
Maintain a large number of vendor accounts while staying in compliance with company policies and procedures.
Effectively communicate compliance and status with vendors and internal business partners
Perform data entry associated with accounts payable
Assist with and provide support and training for our newly created vendor onboarding system. Communicate
requirements and assist with technical issues as needed
Monitor vendor deliverables and service level requirements to ensure vendor performance and adherence to
company expectations, contractual obligations, and compliance
Audit contract vendor insurance coverage, working with vendors and insurance agents to obtain adequate
certificates of insurance
Address and respond to vendor inquiries
Qualifications for Vendor Compliance and Accounts Payable Specialist
High school diploma. associate's degree in Accounting preferred.
2-3 years experience with accounts payable or general accounting
Proficient Microsoft Office knowledge and skills
Strong time management and organizational skills
Knowledge of basic accounting principles
High degree of attention to detail
Ability to work independently and prioritize tasks
Strong analytic abilities
