Our client, a university in Boston is seeking a Part Time administrative Assistant II to join their team! This role is onsite in Boston, Part Time 20 hours per week approximately 4 hours per day, and paying between $24-26/hour, depending on experience. Interested and qualified candidates are encouraged to apply today!RESPONSIBILITIESAdministrative (70%)Schedule and coordinate meetings (in person/Zoom) including assigning Research Assistant (RA) for the demos, room reservations, catering, set up, and clean up. Keep Google Calendars up to date, including monitoring deadlines of upcoming important events.Proactively compose and respond to correspondence as an extension, including corporate sponsor, sta, and student issues.Proofread and edit the documents and correspondences, including letters of recommendation, updating C.V. etc.;Maintain operating policies and processes to manage research group operations and projects; eectively, including updating Trello boards/cards, Google Docs, TMG web page, and TMG Dropbox.Arrange for visiting researchers and students in collaborationPrepare detailed travel itineraries for; coordinate and process reimbursement and research group travel expenses;Assist with the annual admissions process through the database and Google Sheets, including scheduling interviews;Monitor the websites, including and remind the RAs (Research Assistants) for periodic updates of Projects, Publications, and Events.Financial (30%)Manage day-to-day spending and make purchases for the group accordinglyFinance procedure and compliance policy, such as reconciliations of expenses, expense reimbursements, complex purchase orders and contracts, independent contractor coordination, Financial Review & Control (FRC) reports, accounts payables, maintain all records, invoices, receipts, and the like according to record retention policy, etc.;Work with scal ocers to review established budgets and spending regularly.QUALIFICATIONSHigh School education or equivalent.A minimum of three years of oce experience as an administrative assistant, or related experience.Ability to work collaboratively and eectively with a creative and diverse group of people.Attentive to details with accuracy, resourceful and exible, an individual who is able to concurrently handle competing priorities with calm eciency in a fast-paced, open-oce environment.Exercises sound judgment with the ability to proactively anticipate needs, able to quickly and satisfactorily solve sensitive problems.Strong organizational and customer service skills.Possess excellent verbal and written communications skills with demonstrated prociency in English grammar for extensive proofreading.Excellent computer skills including prociency with Microsoft Oce (Word, Excel) and Google Suite, and comfortable using new software.Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
