Small Business Office Administrator

Job Summary:

We are seeking an organized and proactive Office Manager to oversee the day-to-day operations of our small business. The ideal candidate will be responsible for ensuring smooth office operations, managing collections, coordinating schedules, and providing administrative support. This role is essential for maintaining efficiency, improving processes, and fostering a positive work environment.

Key Responsibilities:

1. Administrative Management:

Oversee general office operations, including maintaining office supplies and equipment.

Manage incoming and outgoing correspondence, including emails, mail, and phone calls.

Organize and maintain files, records, and documentation.

2. Scheduling and Coordination:

Develop and manage employee schedules to ensure adequate coverage.

Coordinate meetings, appointments, and events.

Act as the primary point of phone contact for vendors, clients, and service providers.

3. Collections and Financial Support:

Manage customer accounts and oversee collections efforts, ensuring timely payments.

Issue invoices, track receivables, and follow up on overdue accounts.

Work closely with the accounting and work team to reconcile accounts and maintain accurate records.

4. Human Resources Support:

Assist with employee onboarding and training.

Maintain employee records and ensure compliance with workplace policies.

5. Operational Improvements:

Identify and implement strategies to improve office workflows and efficiency.

Develop and enforce office policies and procedures.

Handle problem-solving and provide support to team members as needed.

6. Customer and Client Relations:

Provide excellent customer service and address client inquiries.

Resolve disputes related to billing or service in a professional manner.

Qualifications:

Proven experience as an Office Manager or in a similar administrative role.

Strong organizational and multitasking skills with attention to detail.

Proficiency in office software (e.g., Microsoft Office, QuickBooks, or similar tools).

Knowledge of billing, invoicing, and collections processes.

Excellent communication and interpersonal skills.

Ability to handle confidential information with discretion.

Preferred Skills:

Familiarity with small business operations or a similar environment.

Experience in scheduling or workforce management.

Basic understanding of bookkeeping or accounting principles.

Work Environment:

This role is primarily on-site at our office.
