Our client, a financial firm in Boston, is seeking an Administrative Event Assistant to support event logistics and administrative tasks. The role is requiring a schedule with standard hours of 8:30 AM to 5 PM. This will pay $30-$33/hour, based on previous experience.Project-Related Support:Collateral, Content, and BrandingMaintain inventory and manage the ordering of stationery (business cards, etc.) to ensure consistent branding.Assist with the annual review and updates of marketing materials such as industry handouts, firm overview, and staff biographies.Support compliance tracking of marketing materials and content.Manage inventory of promotional items and gifts branded with the company logo.EventsAssist in the creation and printing of event materials (invitations, name badges, etc.) for firm-wide events.Support key event productions, including on-site logistics, and act as a liaison with event vendors.Administrative Support:Process invoices, expense reports, and reimbursements, interfacing with both external vendors and the internal Corporate Accounting team.Manage vendor contracts, set up new vendors in the company's payment system, and track vendor payments.Schedule meetings and calls using Outlook and Zoom, coordinating logistics such as conference rooms, equipment, refreshments, etc.Organize domestic and international travel arrangements, including flights, hotel accommodations, car services, and meals.Answer phones and fulfill real-time requests for direct reports as needed.Manage general office duties including copying, scanning, filing, mailing/shipping materials, and coordinating visitors.Qualifications:Bachelor's degree with strong academic credentials; a degree in Marketing is a plus.2+ years of relevant post-undergraduate experience, with a minimum of 2 years in event coordination.Familiarity with the alternative asset management industry is a plus.Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator) is a plus.Strong written, verbal, and in-person communication skills.Ability to effectively utilize new technology and skills.High attention to detail and organization, with the ability to manage multiple tasks independently.Self-starter with a positive attitude, strong work ethic, and the ability to work autonomously and collaboratively.Demonstrated commitment to team engagement and camaraderie.Personal characteristics of warmth, maturity, integrity, collegiality, and self-confidence.Beacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.California residents: Qualified applications with arrest or conviction records will be considered for employment in accordance with the Los Angeles County Fair Chance Ordinance for Employers and the California Fair Chance Act.If you would like to complete our voluntary self-identification form, please click here or copy and paste the following link into an open window in your browser: https://jobs.beaconhillstaffing.com/eeoc/Completion of this form is voluntary and will not affect your opportunity for employment, or the terms or conditions of your employment.
