The Office Services Associate is responsible for delivering exceptional client service while performing a range of office services functions, including reprographics, mailroom operations, shipping/receiving, supply management, and conference services. This role requires strong technical proficiency, attention to detail, and the ability to follow established processes while managing multiple priorities in a fast-paced environment.
Pay Range: $19-$21
Shifts Available: 8:30am-5:30am or 11am-8am
Key Responsibilities
Mailroom & Shipping
Sort, process, and distribute incoming/outgoing mail, including USPS daily pickups.
Prepare and track FedEx, UPS, and messenger packages using package tracking tools (e.g., PS Track).
Maintain logs and ensure secure handling of sensitive or confidential items.
Print & Reprographics
Operate high-volume print equipment (Canon color copiers) and finishing equipment (GBC, coil binding, velo, spiral, 3-ring binders, lamination).
Run mail merge jobs with multiple fields/files and provide proofs for client approval.
Manage online print submission software and understand litigation print/finishing requests.
Troubleshoot equipment and coordinate service calls as needed.
Client Service
Provide consultation to clients on print jobs, mail services, and special requests.
Interact professionally with all staff levels, including senior leadership.
Resolve client questions promptly and effectively.
Administrative & Office Support
Maintain inventory of office and print supplies.
Keep all work areas organized and clean.
Assist with conference services, supply stocking, and other office services duties as assigned.
Qualifications
High school diploma or GED required; Associate’s degree preferred.
Experience in mailroom operations, print production, and office services support.
Proficiency with Microsoft Office Suite and Adobe software.
Strong attention to detail, problem-solving skills, and ability to meet deadlines.
Ability to lift up to 50 lbs and work in a physically active role.
