Our client, a financial management firm, located in Boston, is seeking Administrative Assistant to support the office to cover a 6 month leave (that could extend). This position requires someone who is a team player and has excellent communication and organizational skills. He/she can identify and manage the right priorities and processes to ensure that the bankers have what they need to seamlessly serve the needs of its clients. The Administrative Assistant is expected to multi-task and adapt in a fast-paced environment. This role can pay 30-35/hour based on experience and is looking for something to start asap.ResponsibilitiesManage calendars and book meetingsBook travel and ground transportation for client events, roadshows, etc.Process and submit complex expense reports on a timely basisAccurately code expenses and provide backup documentation as necessaryTrouble shoot as needed for missing receipts from hotels, restaurants, etc.Proficiency in Concur requiredOrganize and schedule client and internal meetings/callsEffectively manage complex calendarsProficiency in Microsoft Outlook and Connect preferred Phone coverageAnswer high volume/multiple phone linesTake and relay messages accurately, respond as neededProvide backup support and phone coverage for other Administrative AssistantsManage and book point-to-point international and domestic travel - flights, hotels, rental cars, ground transportation, using American Express Travel/ConcurProvide related information as needed - directions, alternative and back-up options commuting time, time differences, etc.Basic Job RequirementsMinimum of 3 - 5+ years' experience in a fast-paced environment, preferably in the financial services industryTechnology - proficiency with Word, Excel, Outlook and ConcurBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
