Join our team as a Facilities Manager, where you'll oversee the maintenance and management of all physical assets and infrastructure within our organization. This role is pivotal in ensuring a safe, efficient, and well-functioning work environment for our employees and visitors. You'll lead a team of maintenance personnel and collaborate with various departments to deliver top-notch facilities services. Additionally, you will coordinate various projects and assist with office moves, ensuring they are executed seamlessly.

We are seeking a detail-oriented, exceptionally organized professional with the ability to make informed decisions and optimize the use of resources. This role reports to the Client Relations Director or the Vice President of Client Relations.

Essential Job Functions

Facilities Management

Supervision: Supervise and coordinate building, equipment, and system repairs.

Maintenance Scheduling: Schedule and oversee preventive maintenance tasks.

Issue Resolution: Address and resolve maintenance issues promptly.

Performance Monitoring: Monitor the performance of maintenance staff and external contractors.

Budget Management

Budget Development: Develop and manage facilities budget, considering operational needs.

Expense Analysis: Analyze and control expenses to optimize resource allocation.

Vendor Negotiation: Negotiate contracts with vendors and service providers to secure cost-effective solutions.

Supplier Evaluation: Source and evaluate suppliers to maintain high-quality services within budget constraints.

Process & Procedures

Compliance: Enforce and promote compliance with health and safety policies.

Inspections: Conduct regular inspections to identify potential hazards.

Emergency Response: Implement emergency response plans and coordinate drills.

Regulatory Adherence: Ensure compliance with local, state, and federal regulations.

Space Planning

Workspace Optimization: Optimize workspace layout and utilization for maximum efficiency.

Collaboration: Collaborate with departments to accommodate changing needs.

Future Planning: Plan for future expansions and relocations based on business projections.

Code Compliance: Ensure compliance with building codes and accessibility requirements.

Vendor Management

Relationship Building: Establish and maintain strong relationships with external service providers.

Performance Evaluation: Evaluate vendor performance and address issues as they arise.

Contract Review: Review and negotiate contracts to meet service level agreements.

Quality Assurance: Conduct periodic assessments to ensure quality service delivery.

Environmental Sustainability

Eco-Friendly Initiatives: Promote and implement eco-friendly initiatives to reduce the organization's environmental impact.

Energy Efficiency: Explore energy-efficient solutions to lower operational costs.

Sustainable Practices: Integrate sustainable practices into facility management processes.

Regulation Updates: Stay updated on environmental regulations and best practices.

Project Management

Project Planning: Plan and execute facility-related projects within established timelines and budgets.

Stakeholder Coordination: Coordinate with stakeholders to define project scope and objectives.

Resource Procurement: Procure necessary resources and materials for project execution.

Progress Monitoring: Monitor project progress and address any deviations from the plan.

Team Leadership

Mentorship: Mentor and motivate the facilities team, fostering a positive work environment.

Performance Evaluations: Conduct performance evaluations and provide constructive feedback.

Training: Organize training sessions to enhance team members' skills.

Learning & Development

DEI Support: Actively support and champion DEI initiatives within the organization, fostering an inclusive and equitable work environment.

Strategy Implementation: Collaborate with HR and relevant stakeholders to develop and implement DEI strategies and programs.

Progress Monitoring: Monitor progress, assess outcomes, and provide guidance to ensure the integration of DEI principles in all aspects of the organization.

Cross-Training: Promote a culture of cross-training and continuous development, encouraging employees to expand their knowledge and proficiency.

Position Requirements/Experience/Education

Education: Bachelor’s Degree required; graduate degree preferred.

Experience: 3+ years in a Facilities Management capacity, preferably in a high-performance service environment.

Client Service Leadership: Adept at managing long-term client relationships and ensuring client satisfaction.

Partnership Skills: Excellent reputation for partnering with internal constituents, partners, and other service providers.

Performance Monitoring: Experience in collecting performance measurements, creating dashboards, and managing the workforce management function.

Presentation Skills: Ability to make compelling presentations to diverse business stakeholders.

Technology Knowledge: Awareness of technology trends and their relevance to client’s business.

Leadership: Strong leadership and people management skills, with the ability to assess performance, mentor, and counsel associates.

Technical Proficiency: Proficiency in using Microsoft Office products and applications.

Analytical Skills: Ability to think clearly, analyze, strategize, and resolve problems with good judgment.

Confidentiality: Ability to maintain confidentiality and security of client information.

Professional Disposition: Displays a pleasant and cheerful disposition at all times.

Travel: Occasional overnight travel is required.
