Wells and Company Builders is growing and needs a Sales and Project Development Assistant to join the team!

We are a thriving and professional remodeling contracting company located in Wenham, MA. We focus on residential renovations, additions, and remodels. We are growing on the North Shore with an established client base in the greater Boston area.

The Sales and Project Development Assistant will support the Salesperson in shepherding qualified prospective clients through the planning process to construction contract signing in a way that is consistent with our project development process, customer service values, and profitability goals.

In short, focusing on the “Well Planned” part of “Well Planned, Well Built, Well Finished” – in a way that makes the “Well Built, Well Finished” parts possible.

Responsibilities Include:

General:

o Provide exceptional customer service and maintain consistent communication with all team members.

o Keeps project documentation up to date and readily accessible using CRM and Project Management software.

o Maintain working knowledge of other technologies required for communication and tracking of project status.

o Follow meeting protocol for types and frequency of check-in meetings with appropriate team members.

Sales:

o In consultation with Salesperson, responds to lead inquiries, qualifies leads, and schedules initial sales visits.

o Create ballpark budgets and proposed schedules based on comparisons to similar prior jobs and on current production schedule; reviews budgets and schedules with Salesperson prior to presenting them to clients.

o Once ballpark budget and schedule have been approved by client, drafts Pre-Construction Agreement for Salesperson review and secures client signature in a timely fashion.

Pre-Construction:

o In consultation with Salesperson, develops and maintains pre-construction schedules for each project and tracks major milestone completion dates to continuously evaluate whether schedule is slipping and why; regularly communicates schedule status to the team, including architect and client.

o Supports Salesperson by soliciting and securing quotes in a timely fashion from trade partners and suppliers and using available checklists to review those quotes for completeness, accuracy, and consistency with project documentation.

o Works with designer/product selection coordinator to assemble special orders list and coordinate materials ordering; takes responsibility for placing special orders in a timely fashion.

o Participates in client meetings at which budget updates or scope changes are discussed; prior to every such update meeting with client, schedules and leads an internal review meeting with Salesperson to review all documentation that will be presented to the client.

o Prior to every client update meeting and in particular prior to contract signing – uses all checklists the company has in place to help assure completeness and accuracy of scope, schedule and budgets communicated to client.

o Drafts construction contract for Salesperson review; secures client signature and deposit.

Production:

o Participates in project kick-off meetings with client and internal hand-off meeting to production team.

Post-Production:

o Schedules and leads project post-mortems and makes sure that “lessons learned” are incorporated into process map and checklists as appropriate.

Must Haves:

o Excellent verbal, written and spoken English skills.

o Software technical proficiency

o Reliable transportation, and a valid driver's license

o A desire to learn and grow.

Nice to Have:

o One to three years’ experience in a similar role.

o General contractor, architect, design, or similar firm experience.
