JOB DESCRIPTION

JOB TITLE: Human Resources Generalist Part-time (20 hours)

REPORTS TO: Councilor for Human Resource Management

JOB SUMMARY:

The Human Resources Generalist will run the daily functions of the Human Resource (HR) department, serving as a front-line contact for employees and manager/supervisors of Pauline Books & Media and Daughters of St. Paul. These functions include hiring and interviewing staff, benefits, enrollments, leave, employee relations, and enforcing organizational policies and practices. An HR Generalist administers paperwork and filing for all HR related issues. She/he may work on special HR projects defined by the supervisor.

SPECIFIC DUTIES

Supervisory Responsibilities

May assist with constructive and timely performance evaluations.

Recruiting/Hiring/New Employee Orientation

Create and place job advertisements through various recruitment methods such as mailings and online job postings.

Collaborate with departmental managers on recruiting and hiring processes. These processes include screening, interviewing and selection of qualified applicants based on legal and company policy.

Consult with councilor for HR management to determine and present job offers.

Conduct or acquire background checks and employee eligibility verifications.

Facilitate onboarding and education of newly hired employees on HR policies, internal procedures, and regulations.

Conduct salary and job title research for new positions and assist with job description development and submit recommendations to hiring manager and councilor for HR management.

Recordkeeping, Paychex, Reports

Maintain personnel files including generating documentation.

Communicate HR changes to payroll when necessary.

Update and maintain Paychex system for all employees and make sure the information in Paychex is current and accurate.

Develop, prepare, and distribute HR related reports.

Actively review HR employment and payroll laws in the States and fields of work where DSP hires employees. This includes remaining up to date on HR employment laws in the medical, publishing, warehouse, kitchen, and retail fields. In collaboration with the Administration office, assist in maintaining current workers’ compensation policies, communicating workers’ compensation policies to employees and assist in filing any workers’ compensation claims.

Employee Administration and Relations

Handle employment-related inquiries from employees and supervisors, referring complex and/or sensitive matters to the appropriate staff.

Perform routine tasks to administer and execute human resource programs that include but are not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance evaluations; productivity, recognition, and morale; and occupational health and safety.

Inform employees and Councilor for HR management on benefits programs including health insurance, paid time-off policies, group insurance and pension programs. Process employee enrollments, changes, research, and answer employee questions about programs.

Collaborate with Director of HR Development on talent management and training and development.

Consult with supervisors on employee relations issues. Interpret policies and make recommendations. Inform Councilor for HR Management of issues and act on their decisions or recommendations.

With supervision, coordinate performance review process, oversee review language, suggest revisions when needed, report any possible pay equity issues.

Maintain knowledge of trends, best practices, regulatory changes and new technologies in human resources, talent management and employment law.

Special Projects

Work on special HR projects defined by supervisor. Research, collect information, and analyze findings. Examples include pension audit, HR file audit, performance review improvements, Human Resource Information Systems (HRIS) report development, policy manual update.

Proficiency with or ability to quickly learn the organization’s HRIS.

Ability to act with integrity, professionalism, and confidentiality.

EDUCATION AND EXPERIENCE

Bachelor’s Degree in Human Resources, Business Administration or related field required.

At least 2 years Human Resources management experience.

Proficient with Microsoft Office Suite or related software.

PHYSCIAL REQUIREMENTS

Prolonged periods of sitting at a desk or working on a computer.

Must be able to lift 15 pounds at times.

Must be able to access and navigate each department at the organization’s facilities.
