Join our dynamic functional medical dermatology practice as an Administrative Specialist & Concierge Patient Coordinator. In this role, you'll be at the forefront of ensuring seamless administrative operations while providing exceptional concierge service to our valued patients. Your meticulous attention to detail, organizational skills, and passion for patient care, will be instrumental in maintaining our practice's high standards of efficiency and patient satisfaction, while delivering “Personalized Medicine”, which is the hallmark of our Practice. This is a Private Practice located in an independent building in Brighton, MA near St. Elizabeth’s Hospital. Free parking available. Near bus stop, T, Storrow Drive and Mass Pike.
Key Responsibilities:
Administrative Support:
Manage front desk operations, including greeting patients, scheduling appointments, and handling inquiries via phone, email, and in-person.
Essential to document any actions or events in writing relating to patient or office matters.
Collect Copayments
Prepare a list of patients to be seen that day. Follow-up and document patients who miss appointments.
Maintain patient records accurately and confidentially, ensuring compliance with HIPAA regulations.
Coordinate with medical staff to optimize patient flow and ensure timely appointments.
Process and verify insurance coverage.
Perform general administrative tasks such as filing, scanning, and printing.
Monitoring office supply inventory and order office supplies as needed.
Responsible for keeping the entire office space neat, clean, and tidy.
Prepare and file all charts for future appointments, including insurance documentation, and completely updated medical records.
Ensure all charts in Record Room are properly organized.
Create and provide billing information for booking keeping purposes on a weekly basis.
Work with ICD and CPT codes
Prepare requests for lab tests on patients and retrieve and file results as available
Required to run errands to Fedex, Post Office, Bank, pharmacy and other destinations.
Monitor office medical supplies and furnishing needs of patient examining rooms.
Concierge Patient Coordination:
Serve as the primary point of contact for all patients, providing personalized assistance and exceptional service.
Coordinate patient appointments, including scheduling consultations, diagnostic tests, and follow-up visits.
Liaise between patients and healthcare providers to ensure clear communication and comprehensive care coordination.
Address patient inquiries, concerns, and requests promptly and professionally.
Anticipate and fulfill concierge patients' needs, striving to exceed their expectations at every interaction.
Communicate regularly with home home infusion companies to set up, renew or alter IV home infusions.
Communicate to the pharmacy regarding prescription verbal and written.
Practice Enhancement:
Collaborate with the practice management team to implement strategies for enhancing operational efficiency and patient experience.
Provide feedback on administrative processes and suggest improvements to streamline workflow and enhance service quality.
Consider and participate in mechanisms to increase patient recruitment via social media and direct physician solicitation.
Ability to provide exposure of practice on social media would be a great asset.
Qualifications:

Native Proficiency in English with excellent writing skills.
Experience answering telephones with a smile and a “can-do” fantastic and helpful attitude.
Proven experience in administrative roles, preferably in a healthcare or medical setting.
Exceptional communication and interpersonal skills, with a customer-centric approach.
Strong organizational abilities and attention to detail, with the ability to multitask effectively.
Proficiency in typing and using MS Office applications.
Knowledge of medical terminology and understanding of HIPAA regulations is preferred but if absent will be trained.
Ability to maintain confidentiality and handle sensitive information with discretion.
Accepts work responsibilities without reservation and follows through to completion with infrequent reminders.
Performs assignments accurately, conscientiously and with high standards of quality
Ability to work independently and be able to prioritize workload.
Ability to work in a small team and to work and find solutions to problems independently.

Impeccable professionalism, friendly, dependable, patient focussed with strong work ethic and ability to prioritize and efficiently execute tasks.
Previous experience in concierge services or patient coordination is advantageous but not required.
A College/University degree would be a good asset, but not an essential requirement.
Benefits:
Competitive salary commensurate with experience. 47,000 to 52,000 Annual Salary. Increases may occur annually based on performance.
