Description We are seeking an Executive Assistant in the banking industry, based in Boston, Massachusetts. This role is an essential part of our team, providing top-notch administrative support to our executives. This role involves a high degree of multi-tasking, with a diverse set of job duties, including managing calendars, handling correspondence, and maintaining documentation. This role offers a contract employment opportunity.Responsibilities: Handle scheduling and calendar management for executives, ensuring all meetings and appointments are accurately noted and executives are prepared Manage all executive correspondence, ensuring all incoming and outgoing communications are handled promptly and professionally Assist in preparing reports by collecting and analyzing information Maintain executives' confidence and protects operations by keeping information confidential Uphold a smooth office operation by supporting office systems and layouts Handle queries and requests from internal and external contacts Assist in the preparation of regularly scheduled reports Create and maintain up-to-date executive contact lists Utilize Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook for various administrative tasks Assist in the creation and maintenance of necessary documentation, coordinating with different departments as necessary. Requirements Proficient in using Microsoft Office Suites including Microsoft Excel and Microsoft Outlook. Experience in using Concur and CRM software. Proven skills in calendar management and scheduling for C-Suite executives. Ability to handle correspondence professionally and confidentially. Experience in creating, maintaining, and managing documentation. Familiarity with the banking industry and its executive functions. Excellent organizational and multitasking abilities. Strong verbal and written communication skills. Proven track record of providing exceptional support at the executive level.
