Project Support Specialist / Proposal Support

ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management services for real-time, mission-critical defense systems. We are seeking a Project Support Specialist to support a NASA contract in Greenbelt, MD.Responsibilities:Provide daily administrative assistance to the Proposal Development Group (PDG) core team, proposal managers and proposal team members to include:

Utilize IdMax alongside PDG lead to maintain and manage access to secured suite via surveillance monitor, enforcing access.

Maintain overall PDG suite maintenance.

Act as PDG suite warden/includes FOM duties and training.

Maintain Outlook calendars for individuals and conference rooms.

Maintain the PDG proposal library.

Manage office supply inventories and keep them orderly within the supply room.

Maintain copiers for daily working order (paper levels, supply levels), tracks meter usage, assists with purchase/lease, schedules.

Support copier repairs and maintenance.

Facilitation with proposal Site Visits.

provide information/signage for Gate Hours/Building Access Hours/Recycle Bins/Trash/Shredding.

Editing InDesign files in support of proposal specialists.

War Room and Planning Rooms

Meet with PDG team lead to assign proposal teams to war and planning rooms; update PDG personnel in real time about proposal/war room(s)/Teams/PM’s.

Update war/planning room maps accordingly.

Utilize IdMax to maintain and manage access to war and planning rooms.

Collect and schedule shredding of sensitive proposal information.

Maintain inventory of office supplies.

Proposal Close Out

Update NAKC archive with links to proposal versions including HQ, No Cost, and Red Team.

Print and package sensitive proposal copies and any additional sensitive proposal related materials for but not limited to HQ.

delivery, NOO library, quality control, and proposal team member distribution

Maintain distribution worksheet based on proposal specific AO copies.

Guide the PDG proposal distribution process, including creating and providing version specific PDF files to PM for review/approval.

Additional duties as assigned.

Requirements :

Expert knowledge of Adobe Creative Cloud (Illustrator, InDesign, Photoshop, Acrobat) and of Office 365 suite (Excel, Word, PowerPoint, Outlook, Teams, and SharePoint).

Outstanding, proactive, customer service with strong problem-solving skills and the ability to anticipate customer needs.

Ability to work independently as well as in a team environment.

Exceptional verbal and written communication skills.

Ability to multi-task with various projects.

Ability to learn quickly and think critically to create innovative solutions for customer and employee needs.

Strong knowledge of Office 365 suite (Teams, Excel, Word, PowerPoint, Outlook)

Outstanding proactive customer service with strong problem-solving skills and the ability to anticipate customer needs by recognizing areas of opportunity and quickly providing solutions.

Individuals must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job.

Education and Experience:

Bachelor’s degree and 12+ years of experience or 15+ years of related experience in lieu of degree.
