Patriot Steel Fabrication, Inc., located in Cambridge, MD, is a full-service structural and miscellaneous steel fabricator with a 60,000SF fabrication facility. Over the past decade, we have experienced consistent double-digit growth, evolving from a small operation into a leading regional steel fabricator. As we continue this trajectory, we are seeking a skilled Bookkeeper / Assistant Controller to support our expanding operations. This role is designed for someone with the potential to grow into a full Controller position as the company’s needs evolve.

Position Overview:

The Bookkeeper / Assistant Controller will be responsible for managing and overseeing key aspects of our financial operations, including bookkeeping, accounting, payroll, insurance, and HR support. This is an excellent opportunity for an experienced bookkeeper ready to take on broader financial responsibilities, or for an entry-level controller seeking practical, hands-on experience in a growing company. The role is critical to supporting our ongoing expansion, and will develop into a strategic financial leadership position over time.

Responsibilities:

Bookkeeping & Accounting:

Match vendor bills with POs or order confirmations and enter into QuickBooks.

Process vendor payments and maintain organized vendor files.

Enter and reconcile credit card charges and monthly statements.

Generate customer invoices and handle deposits in QuickBooks.

Input estimates in QuickBooks for upcoming projects.

Reconcile bank statements and ensure financial accuracy.

Manage accounts receivable follow-ups for past-due invoices.

Prepare certified payroll reports as required by customers.

Handle weekly payroll tax payments and quarterly tax filings.

Support year-end processes including W-2s, 1099s, and related filings.

Assist in reviewing financial statements and prepare monthly internal reports.

Generate job-specific P&L reports for project managers as needed.

Payroll & Employee Management:

Verify employee timesheets for accuracy and completeness.

Process payroll and maintain employee records.

Ensure new hire documentation and compliance filings are completed.

Submit Maryland New Hire Registry forms as required.

Insurance Administration:

Coordinate Certificates of Insurance (COIs) for project requirements.

Assist with insurance audits (workers’ compensation, general liability, auto).

Manage premium payments and insurance claims follow-ups.

Ensure proper health insurance enrollment and employee deductions.

Support benefits setup and compliance.

Human Resources Support:

Post open positions and conduct initial applicant screenings.

Manage background checks and drug testing coordination.

Ensure all new hire onboarding paperwork is properly completed.

Administrative Duties:

Oversee business license applications and renewals.

Perform general office administrative tasks (filing, scanning, document control).

Develop and refine office systems to improve efficiency.

Become a notary public for company documentation needs.

Qualifications:

Solid experience in bookkeeping, accounting, or financial administration.

Proficiency with QuickBooks and Microsoft Excel.

Strong organizational skills and keen attention to detail.

Ability to manage multiple priorities in a growing business environment.

Familiarity with payroll processing and HR support functions preferred.

Experience with job-cost accounting and project-based financial reporting is a plus.

Motivated self-starter with the desire to grow into a leadership financial role.
