NPosition Type ManagementJOB SUMMARYThe ExecutiveAssistant provides administrative support to the Global Development Officer, United States& Canada, coordinates team administrative tasks and supports project work as needed to achieve the department’s priorities. Duties include general administrative tasks, data analysis, tracking and reporting, team coordination, presentation drafting, and team meeting/event planning and execution. Project and tasks will, in some cases, involve developing alternatives and determining solutions and recommendations.Strong organizational and interpersonal skills as well as good judgment and decision-making and a high level of self-initiative are required.CANDIDATEPROFILEEducation and Experience

Position requires ability to work in a fast-paced, multiple task environment providing primary administrative support to the Global Development Officerand supplement supportto other team members.

Position requires a complete knowledge of a full range of administrative processes gained through of minimum of 5 yearsadministrative experience, preferably in a BusinessDevelopment or Marketing function.

Position requires complete knowledge of the mission, functions, organizational structure, policies and procedures of their department and division and a generalknowledge of thosepertaining to the Company. Incumbent is viewed as a resourceto others concerning these areas.

Knowledge of advancedfunctions of Microsoft Office (Word, Excel, Outlook, and PowerPoint).

Work regular businesshours, 9:00am – 5:00pm, Monday through Friday,with the flexibility to work overtime, as needed. Positionis based at MarriottHeadquarters in Bethesda, MD.

CORE WORK ACTIVITIESGeneral inquiriesand meeting scheduling

Actively manage Global Development Officer’s schedule and calendar. In addition to basic scheduling functions, alsoanticipates and prioritizes scheduling needs based on deadlinesand deliverables. This will require coordination with leaders and other key stakeholders both internally and externally.

Manage high volumeemail and synthesize actions needed. Abilityto act quickly, seamlessly and professionally in time sensitivesituations.

Handles various requestsfor information and follows up based on an understanding of the organization and the basic

knowledge of the team’swork.

Provides back-up coverage for other areas upon request. Assist in meeting planning for the department, including logistics and, where applicable, prepare interview schedules and travel itineraries for candidates involved in job searches, exploratory interviews and/oron-boarding meetings.

Performs general administrative such as scheduling, organizing and maintaining files, coordination of team meetings and retreats, agendas, materials and communications, and expense reporting.

Manages all aspects of meeting planning for the Global Development Officer both internal and external. Gathers agenda items, sets up meetings and makes scheduling changes with minimal direction. Responsible for evaluating and providing meeting logisticrecommendations, budget management, and making travelarrangements.

Proactively manage and coordinate recurringand ongoing activities that involve the leaders of the organization, including all-hands meetings, department head meetings, organization chart, PTO calendar, and other activities that require participation across Development Executive leadership team.

Drafts and distributes internal and externalcorrespondence, memos, reportsand graphic presentations.

Facilitates review processby team members and consolidates feedback.

Manages cyclical administrative duties for the department with limited oversight.

Supports Global Development Officer in financial clerical tasks (e.g.,forecasting, expense reporting).

Handles phone inquiries. Provides callers with responses to requests involving departmental policies, procedures or programs;performs basic researchin order to address questionsand, as needed,refers callers to the appropriate person, appropriate documentation and/or online resources.

Interacts effectively with senior executives, extended team members, and vendor partnersusing clear, appropriate and professional language.

Responsible for the processing of monthly invoices, ensuring charges are accurately posted. Runs reports and conducts simple financial and data analysisusing multiple data points,as directed.

Communications

Compose and distribute internal and externalcorrespondence, memos, reportsand graphic presentations as needed. Organizeand maintain organizational charts.

Perform administrative supportduties, including but not limitedto drafting, prooing and formatting Executivecorrespondence, business documentsor broad communications.

Special Projects and Ad hoc Requests

Attends staff meetings;tracks and communicates follow-up items.

Process accounts payable and expense report data for the department. Reconcileand perform varianceanalysis of department operating statement. Organize and maintain department filing systems and shared drive.

Coordinate other administrative and project responsibilities as requested.

Create presentations using Word, PowerPoint, and Excel upon request.

Maintain files and organizesinformation at the request of Global Development Officer.
