We are seeking a proactive and skilled individual to provide vital administrative support to our office management in a fast-paced Fire and Water Emergency Service company.
Key Responsibilities:
Assist with various administrative tasks, including drafting and editing correspondence, managing emails, and preparing communications. Invoicing thru A/R and communicate directly with customers regarding job progression and balance.
Proficient use of Software:
Microsoft Office Suite
Excel, Outlook, and Word
QuickBooks Desktop Pro
Xactimate
Act as a gatekeeper by filtering information and escalating relevant matters to management.
Manage multiple priorities and deadlines in a dynamic environment while maintaining confidentiality.
Essential Skills and Qualifications:
Minimum of 3 years of experience as an administrative assistant.
Exceptional organizational and time-management skills with a proven ability to prioritize tasks.
Strong problem-solving and decision-making abilities.
Excellent written and verbal communication skills, demonstrating professionalism in all interactions.
Capable of working independently with minimal supervision while also thriving in a collaborative team setting.
Strong interpersonal skills to build and maintain relationships with clients and colleagues.
A proactive mindset, anticipating needs and addressing them before they arise.
