Description We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support senior executives in a fast-paced environment. The ideal candidate will have a strong understanding of the financial industry, excellent communication skills, and a high level of professionalism. This position requires the ability to manage complex schedules, handle confidential information, and provide administrative support to senior leadership.Executive Support:

Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and arranging travel.

Prepare and prioritize correspondence, reports, and presentations for senior executives.

Act as a liaison between executives and internal or external stakeholders, ensuring timely and accurate communication.

Office and Project Management:

Manage office logistics, including coordinating meetings, conferences, and special events.

Organize and maintain files, documents, and financial records, ensuring adherence to confidentiality and compliance standards.

Assist with the preparation and coordination of financial reports and other materials as required by the leadership team.

Financial Administration:

Assist with tracking budgets, preparing expense reports, and managing invoices or billing for financial services.

Liaise with accounting departments to ensure timely payment processing and accurate financial record-keeping.

Provide support during audits and maintain proper documentation for regulatory compliance.

Confidentiality and Compliance:

Handle confidential information with the utmost discretion and in compliance with industry standards and regulations.

Stay updated on regulatory requirements affecting the financial industry, ensuring that all administrative processes adhere to relevant laws and guidelines.

Requirements

Education: Bachelor's degree in business, finance, or a related field (preferred).Experience: 5+ years of executive assistant experience, preferably within the financial services industry or similar fast-paced environments.Skills:Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and financial software.Excellent organizational, time-management, and multitasking abilities.Strong verbal and written communication skills.Knowledge of financial terminology, processes, and market trends.High attention to detail and problem-solving capabilities.Personal Attributes:Ability to work independently and manage competing priorities.Discretion and confidentiality in handling sensitive financial and business information.Professional demeanor and strong interpersonal skills.TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
