Summary: Paper Trails, a 2024 "Best Place to Work in Maine," is a full-service payroll, human capital management and human resources firm with offices in Kennebunk and Topsham. We provide top-notch and up to date payroll and human resources services to small to mid-sized businesses in Maine and New England.

The Payroll & HCM Consultant is responsible for managing and processing our most complicated client payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments and preparing special reports upon request. Further, the role requires a detailed understanding of payroll tax and compliance law, including multi-state payrolls and wage and hour regulations.

Client service is our top priority, so being responsive to all client questions and needs is paramount; it is ideal when we anticipate the clients' needs before they ask the question! We act as an advisor to our clients, so some of our clients' needs may not be something we can handle; knowing and offering the correct contact or referral is often just as helpful.

Paper Trails' online human capital management system, isolved, is robust; supporting and training clients in the use of this tool will be key. Manipulating and configuring the system to meet clients' needs is necessary. We will train you to become a master.

Each Payroll & HCM Consultant is expected to manage a client base of approximately 150-200 clients depending on the complexity of each client. The Consultant may be assigned additional tasks including timekeeping or benefits administration setup, workers compensation administration, new client implementation, tax review and other general configuration and troubleshooting as required by business needs.

Duties & Responsibilities:

Delivers world-class support to Paper Trails' clients via phone, text, email, chat, and other avenues.

Manage your daily workflow to ensure all payroll/transactions/other work is completed in an accurate and timely manner.

Enter and process weekly payrolls for clients, calculating deductions, adjustments, reporting, reviewing for errors, etc.

Support clients with daily tasks within our online human capital management, including entering their own payroll, employee management, reporting, configuration, and manipulation of the system.

Handle complex labor allocation and general ledger setups, fringe benefit calculations, voids and corrections and problem solving for clients.

Service clients' payroll needs including running configuring advanced services within isolved like timekeeping, onboarding, benefits administration, tax setup, custom reports and/or exports, managing unemployment verifications, transmitting retirement contributions, and preparing and filing payroll tax returns.

Setup, configure, manipulate, and troubleshoot advanced HCM configurations based on each clients' specific business needs.

Develop and maintain an advanced working knowledge of our human capital management platform, isolved, as well as complex tax and regulatory topics.

Serve as an expert on all things payroll, tax and compliance for your client base.

Understand our online human capital management system, and act as a "maven" to our clients when supporting their online needs.

Requirements:

Experience processing payroll for companies up to 500 employees, including knowledge of multi-state payroll regulations, benefits administration, timekeeping, human resources compliance, and federal and state tax and labor laws.

Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation is preferred.

Strong Windows Operating System Knowledge and Strong Skills with Microsoft Outlook, Teams, Word and Excel.

A background in financial accounting, business or human resources, degree preferred.

Possess excellent math and common-sense decision-making skills.

Impeccable customer service skills.

Possess advanced knowledge of accounting, payroll, and banking.

Ability to work with technological tools and equipment and to adapt to changes in technology.

Compensation & Benefits

Salary range dependent upon experience. Additional compensation available for advanced certifications.

Remote work flexibility after probationary period and based upon business needs.

Hours: Monday-Thursday 8:30-4:00pm / Friday 8:30-noon / additional hours may be required at quarter and year-end.

Annual bonuses and profit sharing based on company performance.
