A property management executive administrative assistant is responsible for providing administrative support to the executive team of HACS property management department. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks and prioritize accordingly. Overall, the property management executive assistant plays a crucial role in ensuring the smooth operation of the property management executive team and supporting the efficient management of properties.Essential Duties:Managing correspondence: Handling emails, mail, and phone calls, and responding or redirecting as necessary.Calendar management: Scheduling and coordinating appointments, meetings, and conferences for the executive team.Document preparation: Drafting, editing, and formatting various documents, such as memos, letters, reports, and presentations.Data management: Maintaining accurate and up-to-date files and databases.Executive support: Providing general administrative support to the executive team, including managing their calendars, organizing events, and handling any other tasks as needed.Liaison with internal and external stakeholders: Serving as a point of contact between the executive team and other departments, clients, vendors, and partners.These duties may vary on an as needed basis.Knowledge, Skills and Responsibility:Knowledge of property management principles and practicesFamiliarity with relevant laws and regulations in the property management industryUnderstanding of administrative procedures and best practicesStrong organizational skills to manage multiple tasks and prioritize effectivelyExcellent attention to detail to ensure accuracy in document preparation and data managementAdvanced proficiency in computer software applications, such as Microsoft Office SuiteEffective communication skills, both written and verbalAbility to work independently and proactively solve problemsStrong interpersonal skills to interact with colleagues, clients, and stakeholdersProficiency in Microsoft Office Suite (Outlook, Word, Excel)Proven record of providing excellent internal and external customer serviceMust be self-motivated and have a positive attitudeAbility to focus and follow through to completion of projects Ability to set priorities and operate in a dynamic, fast paced environmentDemonstrates initiative with ability to work with little supervisionExhibits professionalism and team orientationEDUCATION REQUIREMENTS:Successful experience in property managementBachelor's degree requiredCompensation/Benefits$51,000 Annually with qualified experience.Health, dental, vision and life insurance401(k) Plan, contributions – employees 6%, employer 8%Paid annual and sick leavePaid holidays'
