Accounts Payable Specialist

Description  Manages the invoice process including data entry, general ledger coding, approval verification and payment.  Assembles invoices into categories and batches to be processed for payment.  Verifies vendor information for accuracy including addresses and Federal ID numbers.  Calculates all extensions and totals on invoices, calculating and taking discounts. Matches invoices with purchase order copies when appropriate. Determines if taxable or tax-exempt. Determines GL Codes required for each invoice and allocates expenses across multiple entities. Maintains and manages two corporate accounts including monthly processing of corporate credit card charges which includes assembling all back-up documents and reviewing information prior to processing payments. Reconciles vendor statements for accuracy prior to payment. Provides good customer service when vendors inquire about payment status. Contacts vendors to clarify any questionable invoice items and prices; contacts purchasing department to request proper information regarding invoice payments. Files 1099s at the end of the year for 1099-NEC, 1099-MISC, and 1099-INT. Identifies any professional services rendered; maintains listing of any payments made for Non-Employee Compensation; consolidates 1099 information for tax purposes to be sent to individuals, rental payments to landlords, legal fees to attorneys, interest payments, and 1096 and 1099 Forms to IRS. Reconciles multiple credit card statements that has heavy volume each month. Ensures monthly invoices are posted: legal, IT Services, postage meter machines, insurance, utilities, alarm systems, lifelock, health insurance, efax, staffing agency invoices, CPA firms, rent, shredding services, private consultants, pharmacy consultants, and VGMU. Ensures all quarterly loan payments are made and allocated correctly between principal and interest. Manages payment for the postage meter machines for several accounts.
