Ward Electric Company, Inc. is currently accepting applications for a full-time team-oriented Receptionist/Administrative Assistant. This position will be based out of Great Bend, Kansas.
Duties/Responsibilities:
-Provide basic and accurate information in-person and via phone/email
-Greet and welcome any in-person guests/visitors
-Assist with daily data entry of hours and tasks completed
-Generate customer invoices and provide accurate and timely billing
-Track and document contract billing requirements for customers
-Track aging list and send out reminders/follow-up billings
-Make occasional deliveries/pick ups
-Receive, sort daily mail and/or deliveries
-Order building and office supplies and keep inventory stocked
-Perform clerical duties such as filing, photocopying, and faxing
-Coordinate new employee operations at the site including the distribution and organization of PPE
-Maintain records of PPE distribution and stock levels for onboarding staff and support accurate stock management by coordinating with headquarters to update supply and inventory data
-Assist with data collection for prospective projects
-Complete project progress reports as required
-Assist in the project close-out
-Streamline workflow by learning to support the General Foreman in requesting switching procedures, managing traffic control, and recording daily hours
-Submit locate requests as well as manage and keep locates up to date
-Other duties as assigned
Requirements/Qualifications/Skills:
-Valid Driver’s License
-Must pass a drug test and background check
-Knowledge or experience within the trade, is preferred, but not required
-Prior reception/billing experience, a plus
-Previous locate/utility experience, a plus
-Familiarity with industry standards, policies, guidelines and certifications, a plus
-Previous experience with reviewing, editing, and updating KMZ files, a plus
-Self-motivated
-Detail oriented and highly organized
-Ability to work in an office environment
-Excellent verbal and written communication skills, a must
-Requires analytical and problem-solving skills
-Proficiency with Microsoft Office including Excel, Word and Outlook, is required
-Willing to work in a team environment
-Maintain a positive and professional image when representing Ward Electric
-Proactive with an ability to work independently
-Ability to multitask and display time-management skills, including the prioritization of tasks
-Customer service, detail consciousness, dependability, and responsibility, are required
